Bring your products into Kila

Move your product list in from Excel or your old system with Move to Kila. Kila checks the whole file before anything is written, and a posted file can be rolled back until you go live.

Move to Kila brings your records in from spreadsheets: “check each file before anything is written, post it, and roll it back if it was wrong, until you go live.” Products come first, because “each step uses the one before it (opening stock needs the products; the trial balance comes last).” The other steps work the same way.

  1. Open Move to Kila and tap Bring in next to Products

“Products with prices, VAT and barcodes. A SKU already in Kila is updated; a new selling price becomes a price change record and must meet the minimum margin.”

Move to Kila at Baraza Supplies: the cut-over day, and What to bring in, in order: Products, Opening stock, Customers and balances, Suppliers and balances, Staff and Opening trial balance. Bring in next to Products is marked 1.Move to Kila at Baraza Supplies: the cut-over day, and What to bring in, in order: Products, Opening stock, Customers and balances, Suppliers and balances, Staff and Opening trial balance. 2. Download the template and fill it in

Tap Download the template: a CSV file with the columns Kila reads (sku, name, type, category, brand, unit, price, cost, barcodes, tax_code and the reorder and stock levels) and two example rows. Put one product on each row, or export from your old system with the same column names.

  3. Choose your file

Tap Choose your file and pick the CSV: “CSV from Excel, QuickBooks or another system. Columns are matched by name; check them below.” Kila shows the file’s name and how many rows it found.

    Steps 2 and 3.
Products: Download the template (2), and the file baraza-products.csv chosen with 5 rows, next to Choose another file (3).Products: Download the template (2), and the file baraza-products.csv chosen with 5 rows, next to Choose another file (3).
  4. Check the columns, then tap Check the file

Under 2. Match the columns, each of Kila’s columns shows the column of your file it took, or Not in the file. Correct any that are wrong. “Nothing is written until you post.”

  5. Read what Kila found, then tap Post

Kila gives the file a batch number, such as MIG-0001, and lists the rows, how many have errors, and what each row does: such as 5 rows, 0 with errors and New: 5. Open Preview, row by row to see each product. When nothing has an error, tap Post and the batch number.

    Steps 4 and 5.
Check the file (4), then what Kila found for the batch: 5 rows, 0 with errors, New: 5, Preview, row by row, and the Post button with the batch number (5).Check the file (4), then what Kila found for the batch: 5 rows, 0 with errors, New: 5, Preview, row by row, and the Post button with the batch number (5).

Kila says the batch is posted: “5 rows posted. It can be rolled back from the list below until the business goes live.” The batch is listed under Batches, such as MIG-0001: Products: “Every file checked or posted. A posted batch can be rolled back while nothing depends on it.”

Kila shows:

Save it as CSV

In Excel: File, Save As, CSV (comma delimited). Then choose that file.

Kila lists each one by row, under Problem, and Post stays grey: “Correct the file and check it again.”

Tap Roll back next to the batch and give a reason. “Stock, balances and journals it posted are reversed; records it created and nothing else uses are removed. Kila refuses if anything depends on it.” Kila says the batch is rolled back.

Good to know

Rolling back stays open until an owner taps Go live, then for the Days rollback stays open after going live set under Rules for this move. After that Kila says “Posted batches can no longer be rolled back: correct with stock adjustments, credit notes and reversing journals.”

Next: bring in Opening stock, which needs the cut-over day: “The day the business starts on Kila. Opening stock and balances are what you had at the start of this day.”
