Step by step
Suspend or remove a user
Stop someone signing in to your business, for a while or for good. Their sales, counts and approvals stay on record, and you can give access back later.
When someone leaves, or should stop using Kila for a while, change their access on their profile. Suspend keeps their roles for when they come back; Remove takes the roles away. Either way they are signed out at once, and everything they recorded stays on file.
Open their profile
Under Users and roles, select the person. Someone who has not accepted their invitation yet is under Invited.
Tap Manage access, then choose what to do
Choose Suspend access or Remove from business. For someone who is still Invited, tap Withdraw instead.
Give a reason
Kila asks for one each time and keeps it with the change in the audit log.
Confirm
Tap Suspend, Remove or Withdraw. Kila says what happens before you do:
You choose Kila says Suspend access “They are signed out at once and cannot sign in to this business until reactivated. Their records stay.” Remove from business “Their roles are taken away and they are signed out. Sales, shifts, counts and approvals they made stay on record. You can add them back later.” Withdraw “The link in their email stops working and they get no access. You can invite them again later.”
Their profile then says Suspended, or Removed from the business for a removal or a withdrawn invitation: “Grace Wambui cannot sign in to this business. Everything they recorded stays on file.” The list keeps them under Suspended or removed, which does not count towards your plan’s users.
Give access back
Link to this section: Give access backOpen their profile and tap Reactivate. Someone suspended can sign in again with the roles they had. Someone removed has no roles left, so Kila asks for them first: Give Grace Wambui access again, “Choose their roles. Reactivating counts towards your plan’s users.” Choose the role and where it applies, then tap Reactivate.
Someone who never accepted their invitation is invited again: Kila says Grace Wambui invited again and “They can use the business once they accept.”
The person is the only owner
Link to this section: The person is the only ownerA business always keeps one owner who can sign in. Give the Owner role to someone else first.
It is your own profile
Link to this section: It is your own profileThey should only be signed out
Link to this section: They should only be signed outManage access also has Sign out of every session, which signs them out everywhere and leaves their access as it is, and Reset password: “Their current password stops working and every session they have is signed out,” and Kila emails them a link to choose a new one.
Needs a manager
Owners and administrators change people’s access. Only an owner changes another owner’s.
- Add a user: adding someone, or adding them again with a new email.
- How roles and permissions work: changing someone’s role instead.
Next: the audit log keeps who changed someone’s access, when, and the reason they gave: see Find an action in the audit log.
