Your role

Agro-dealer in charge

Your day as the certified agro-dealer at an agrovet. You sell and advise at the counter, record the buyer of every restricted product, redeem subsidy vouchers and count stock.

Kila describes the role: “The certified agro-dealer: sells and advises on pesticides and restricted products, redeems subsidy vouchers and counts stock.” Kila offers it to businesses under the Farm chemicals rules, such as agrovets and agricultural-input distributors. At Mkulima Agrovet, Mercy Jepkosgei is the agro-dealer in charge at Nakuru town.

Kila opens your Dashboard: “Here is how Mkulima Agrovet is doing”, with today’s sales against the same day last week and the tills open with their takings, yours among them. The agrovet’s own cards follow: Sales today by product class (2), Stock expiring or low, Farmer credit due at harvest and Subsidy vouchers this season. Point of sale (1) opens your till, and the Agrovet section of the menu (3) holds the farmers’ credit, the subsidy vouchers and the advice records.

  1. Open your shift on your till: Open a shift. Your till has Sale, Quotation, Order and Return.
  2. Sell and advise. A restricted pesticide asks for the buyer’s name, phone number and ID number before any payment: Sell a restricted product. A farmer with a credit limit can pay at the harvest: Sell on credit until the harvest.
  3. Record the advice you give under Agrovet › Advice records, with Record advice: the farmer, the crop or animal, the problem, the advice, the products with their rates, and when to follow up.
  4. Redeem subsidy vouchers for farmers who bring one: see below.
  5. Count stock under Inventory › Stock counts: Count stock. You can start a count with New count and count it. Posting it, which changes the stock, needs a role that approves counts.
  6. Close your shift when you finish: Close a shift.

Under Agrovet › Subsidy programmes and vouchers: “Redeem e-vouchers at the programme’s price, cashless; the programme’s share goes on its account until it pays.” Tap Redeem a voucher: “Check the voucher on the farmer’s SMS, take their share cashless, and the programme owes the rest.” Choose the Programme, type the Voucher code (1), find the Farmer on the register (2) and enter what they take (3). Kila works out what the programme pays (4): “It goes on the programme’s account as a sale on credit; claim it from the programme’s redemptions.” The button says what the farmer pays, such as Redeem: farmer pays KES 2,500.00.

Redeem a voucher for the National fertiliser subsidy, short rains: a voucher code from the farmer's SMS (1), Wanjiru Kamau from the farmer register (2), one bag of CAN fertiliser (3), and The programme pays KES 700.00 (4), with Redeem: farmer pays KES 2,500.00.Redeem a voucher for the National fertiliser subsidy, short rains: a voucher code from the farmer's SMS (1), Wanjiru Kamau from the farmer register (2), one bag of CAN fertiliser (3), and The programme pays KES 700.00 (4), with Redeem: farmer pays KES 2,500.00.

Needs a manager

  • A discount above 5%, and every refund. They go for approval as they do for a cashier, and your till goes on by itself once someone decides: Cashier. Approvals, at the top of your menu, lists what you raised, marked Your request: “You raised this request. Someone else must decide it.”
  • Changing a price. “Your role cannot change prices. Ask a supervisor.”
  • Prescription-only veterinary medicines. They need a qualified person, such as the animal health officer.
  • Posting a stock count. Someone whose role approves counts posts it.
  • Agrovet settings, with the licences, is not in your menu: the owner keeps it.

Ring up a prescription-only medicine and tap Charge, and the payment says:

Kila shows:
Only a qualified person (an animal health officer or vet with their registration recorded) sells these. Ask them to ring the sale.

Why can I not sell a prescription-only veterinary medicine? It needs a vet’s prescription and a qualified person: someone whose role allows it and whose Kenya Veterinary Board registration number is recorded in Kila. Clear the cart and ask the animal health officer to ring the sale: Sell on a vet’s prescription.

Where is the restricted product sales register? It is a report, and your role does not include View reports, so it is not in your menu. The owner and anyone whose role includes the reports read it: Check the restricted product sales register.

Does Kila check my agro-dealer certificate? No. The owner records your Agro-dealer certificate number on your profile under Users and roles, as Mercy Jepkosgei’s is (PCPB/AD/2023/1172), and Kila keeps it there. The till does not ask for it when you sell: see Selling farm chemicals.
