Step by step
Check stock movements
Movements is the stock ledger. Every unit in or out of a branch is a line with its document, its cost and the person who recorded it.
When stock is not what you expected, Movements tells you what changed it. Every sale, delivery, transfer, count and adjustment is a line in this ledger, and Kila never edits one: a correction is a new line.
Open Movements
In the menu, open Stock › Inventory › Movements. The newest movements come first, for every branch you work in.
Search for a product or a document
Type a product’s name or SKU in Product, SKU or document, or the number of a document such as a sale (S-000427), a transfer (TRF-000005) or an adjustment (ADJ-000003).
Narrow it down
Choose a branch, a movement type such as Sale, Purchase receipt, Transfer in or Damage, or dates in From and To.
Read the line
Each line says When it happened and what the Movement was, with the batch and the reason under it, such as Damaged. Quantity is plus for stock in and minus for stock out, and Balance is what the branch held straight after it. By names who recorded it and, when someone else approved it, Approved by.
Open the document
Tap the number under Document to open the sale, delivery, transfer, count or adjustment that moved the stock.
Tip
Export page saves the movements on the page you are looking at, 50 at a time.
A movement was recorded by mistake
Link to this section: A movement was recorded by mistakeReverse it. Kila never edits a movement: it records a new one that cancels it. Under the movement, tap Reverse. Kila says what will happen first:
- Say why in Why is it being reversed?
- Tap Reverse movement.
- The new line is a Reversal that Reverses the damage of the original’s date and time.
- The original now says Reversed on the date. A movement can be reversed only once.
Tap either to see the two alone; Show all movements brings the rest back.
Needs a manager
Reverse shows only to people who approve stock adjustments, such as the owner, a branch manager or an inventory manager. It is there for adjustments, damage, expiry and disposal write-offs and stock count results. Sales, deliveries and transfers have no Reverse: they are corrected on their own document.
Kila says the reason is too short
Link to this section: Kila says the reason is too shortKila keeps the reason with the reversal, and it needs at least five characters. Write a few words that say why, such as “The bag was mended and is back on the shelf.”, and tap Reverse movement again.
- See your stock on hand: what each branch holds now.
- Adjust stock: record damage, losses and stock found, with a reason.
- See stock as of a date: stock at the end of any day, rebuilt from this ledger.
Next: if the shelf holds more or less than the ledger says, adjust the stock with a reason.
