Step by step
Close a van day
When a rep's van comes back, the store counts what is on it back in, blind, and the supervisor counts the cash and closes the day. Kila reconciles the stock, cash and M-Pesa, or sends a difference for a decision.
A van’s day runs from the load in the morning to the count at night. Everything the rep sold, collected and gave away belongs to that day. At the end, the store counts the stock on the van and someone other than the rep counts the cash; Kila compares both with what the day says should be there.
Open the van's day
In Field sales (“Vans and reps on the road: loads, sales, collections, visits and the end of each day.”), Van days lists today’s days and any still open, each with what it sold and collected. Tap the van’s day.
The store counts the van in
Under On the van, the storekeeper types what is on the van for each product in Counted, then taps Count in. At Mombasa Road the count is blind: “A blind count: count what is on the van; Kila compares it once it is sent.” Kila says Counted back in: “No differences.”, or the difference at cost.
Check the cash expected
On the van’s day, Cash and M-Pesa shows the Sales from the van, what went On account, the Collections, the Float and the Cash expected, with the M-Pesa taken.
Type the cash counted
Count the cash the rep hands in and type it in Cash counted. Tick I counted this cash and the count is mine.
Tap Close the day
Kila says Reconciled: “Stock, cash and M-Pesa add up.” The day says when it was reconciled and by whom.
The stock or cash does not add up
Link to this section: The stock or cash does not add upKila does not close the day as reconciled: it sends the difference for a decision, and the day says so:
Someone other than the rep decides it in Approvals, as a Van stock difference: “VD-000014, Van 1 (Kevin Otieno): stock short by KES 2,600.00 at cost when counted back in.” At Mombasa Road the area supervisor, the sales manager and the general manager can decide it. Kevin Otieno’s van day from yesterday is waiting like this in the demo.
