Step by step
Take back a market return
Goods a shop hands back, expired, damaged, unsold or delivered wrong, taken on the road, on delivery or at the depot, received at the depot, inspected and credited to the shop, and kept for the principal's claim.
Shops hand goods back: expired packets, leaking bottles, a recall, stock that did not sell, a wrong delivery. A market return follows them from the shop to the depot, where they are checked, and then to the shop’s credit note. Three people share it: the one who takes the goods back (a rep on My route, a driver on My run, or the order desk at the depot), the store that receives them, and the credit controller who inspects them and credits the shop.
Take the return at the shop
On My route, open the shop and tap Take a return. Find the product in Find the product handed back, then set the Quantity and Why: Expired, Damaged, Recalled by the principal, Unsold, good condition or Wrong delivery. For expired, damaged and recalled goods Kila also asks the Expiry and Batch, both optional. Add a Note if it helps: “The outlet is credited once the goods reach the depot and are checked.”
Tap Take the return
Kila says Return taken. The goods ride back on the van: under Distribution › Market returns, To finish, the return says On the van, taken in On the road by the rep.
Receive it at the depot
When the van is back, the store opens the return and taps Received at the depot. Kila says Received at the depot, and the return is At the depot, to credit. Goods to claim from the principal say Claimable.
Inspect it and credit the shop
The credit controller checks the goods, opens the return and taps Inspected: credit the outlet. Kila says Outlet credited: the shop gets a credit note on its account, numbered MCN-…, for the Credit (VAT incl.). The return shows who took it in, who received it and who credited it.
Deal with damaged goods
Damaged, expired and recalled goods stay held after the credit: “2 damaged or expired units held. Claim them from the principal, then dispose of them.” Once they are destroyed or sent back, choose What happened to them, Destroyed or Sent back to the principal, type the Certificate or delivery note, and tap Record it.
The goods should not be credited. Tap Not accept: “Not accept this return?” “The goods go back to the outlet.” Kila asks why and keeps the reason in the audit log. Tap Not accept.
The shop brings the goods to the depot. On Market returns, tap Take a return at the depot, find the shop by name, number or phone, and fill in the same form.
A driver is handed goods on delivery. The stop on My run has Take a return too.
Good to know
At Mombasa Road the reps, the drivers and the order desk take returns in, the store receives them, and the credit controller or the claims officer credits them. The owner sets the rest in Distribution settings: Outlets are credited at (here The last price they paid), Credit notes are made (here After someone inspects the goods), and A person may credit their own return up to (KES), here 0: “always someone else”.
- Claim from a principal: expired and damaged goods credited to shops are claimed back as Expiries and damages.
- Sales rep
- Credit controller
Next: take back crates and empties.
