Close a shift

At the end of your shift, count the cash in your drawer. Kila compares it with what it expects and closes the shift.

Who can do it
Cashier, Till supervisor and Branch manager
Find it
Sell, then Point of sale, or search point of sale in Kila
Time
5 minutes

Steps differ for wines and spirits shops, pharmacies, butcheries and 6 more kinds of business.

Everything you took on the till since you opened your shift belongs to that shift. Closing it means counting the drawer so the cash and the books agree before the next person starts.

  1. Open the shift panel

At the top of the till, tap your shift number: the green label such as SH-000168. You can also open the menu under your name and choose Shift and cash.

The till at Baraka Wines and Spirits. The shift number at the top is marked 1.The till at Baraka Wines and Spirits. The shift number at the top is marked 1.
  2. Check the shift, then tap Close shift

The panel shows your sales so far, the Cash expected now in the drawer, what you took by each method (cash, M-Pesa and the rest) and any cash paid in or out. Tap Close shift.

The shift panel: sales KES 670.00 in 2 sales, cash expected now KES 2,550.00 from a KES 2,000.00 float, KES 550.00 taken in cash and KES 120.00 by M-Pesa, no cash paid in or out. Close shift is marked 2.
  3. Count every note and coin

Type how many notes of each value are in the drawer, from KES 1,000 down to KES 50, and the coins in shillings. Kila adds them up as Counted.

Steps 3 to 5 on one screen.
The count: two KES 1,000 notes, one KES 500 note and one KES 50 note make KES 2,550.00 counted (3). The box I counted KES 2,550.00 in the drawer myself is ticked (4), and Submit count of KES 2,550.00 is marked 5.The count: two KES 1,000 notes, one KES 500 note and one KES 50 note make KES 2,550.00 counted (3). The box I counted KES 2,550.00 in the drawer myself is ticked (4), and Submit count of KES 2,550.00 is marked 5.
  4. Confirm the count is yours

Tick I counted KES … in the drawer myself. The count is mine and is kept with the shift. Kila keeps your name and the time with the shift.

  5. Tap Submit count

The button shows the amount you counted, such as Submit count of KES 2,550.00. It stays grey until you tick the box above it.

  6. Read the result, then tap Done

Balanced. Every shilling accounted for. means the count matches what Kila expected. Tap Done: the shift is closed and the till is free for the next shift. If the count is short or over, see What if below.

Shift closed: expected cash and counted cash are both KES 2,550.00 and Kila says Balanced. Every shilling accounted for. The Done button is marked 6.Shift closed: expected cash and counted cash are both KES 2,550.00 and Kila says Balanced. Every shilling accounted for. The Done button is marked 6.

For wines and spirits shops

Licensed hours and your shift. On a wide till screen, the top of the till shows today’s hours for alcohol, such as Alcohol 10:00 to 23:00. When they end it shows Alcohol sales closed now: the till refuses alcohol and still sells everything else, and your shift stays open until you close it. Close it the same way. Each ID check you made is already recorded with its sale, so there is nothing to add at the close. More in Selling alcohol.

For pharmacies

Closing at a pharmacy. Close the till the same way: the count is about cash only. Two pharmacy checks sit on their own pages, not in the close:

  • Pharmacy › Controlled drugs and counts shows the balance of each controlled drug at the branch, as the register keeps it, and the counts made against it.
  • Branch operations has the branch’s Closing checks, which include Tills closed and counted. Kila has them ready at the closing warning and reports whatever is left after closing.

The pharmacist on duty signs off under Pharmacy › On duty, refills and owings. See Close the pharmacy for the day and Count controlled drugs.

For butcheries

Before you close. Weigh out the trim, bone and drip and write it off as waste, and do the Butchery closing clean under Branch operations. Then close the till the same way.

For workshops and repair businesses

Deposits on jobs. Payments you take at the till when a customer collects belong to your shift, and so does a deposit you take on the job board while your shift is open: cash in the cash Kila expects, M-Pesa and card in their totals. At collection the deposit comes off the bill, so it is not counted twice. See Take a deposit on a job.

For couriers, transport and hire businesses

Cash on delivery. Riders’ cash on delivery is not counted in a till shift: the COD cashier counts it in with Cash up on Operations › Cash on delivery. See COD cashier.

For fuel stations

Pump attendants. A supervisor cashes up a pump attendant’s shift from the meter readings: see Cash up an attendant. A shift holding nozzles closes only with their closing readings, such as: “Record the closing meter reading of 1A Super, 1B Diesel, 2A Super, 2B Diesel (Forecourt) before closing the shift.”

For gyms and studios

At a gym or studio. Cash taken at the desk for passes, packs and membership payments is in the cash Kila expects for the desk’s shift.

For hotels and lodges

At a hotel’s front desk the strip with your shift number on the front desk is your desk shift: money you take at the desk counts on it. Tap Count and close there at the end of your shift. See How the front desk and the room grid work.

For clinics and health services

At a clinic’s billing desk the banner names your shift: Your shift SH-… opened …: what you take goes on it. The cash you take for bills is on that shift; close it the same way at the end.

Kila shows:

Short by KES 550.00

Counted KES 2,000.00, expected KES 2,550.00. Count the drawer again. If the figure stands, send it for review.

Tap Recount, count the drawer again and submit the new figure. If the figure stands, write a note for the reviewer and tap Send for review. The shift closes as counted and a supervisor reviews the difference.

If the difference is within your business’s tolerance, the button says Close shift instead, and the shift closes with the difference posted to cash over and short.

A count that is short: Kila says Short by KES 550.00 and offers Recount (1) and Send for review (2).A count that is short: Kila says Short by KES 550.00 and offers Recount (1) and Send for review (2).

Tick the box above it first: I counted KES … in the drawer myself. The count is yours, so Kila asks you to say so before it records it.

Needs a manager

A shift sent for review waits for someone other than the cashier, such as a till supervisor or branch manager. They accept the difference or dispute it from Sales › Shifts. See How shifts and cash-ups work and Review a shift.

Next: when the next shift starts, the till asks to Open your shift: choose the till and count the float in the drawer. See Open a shift.
