Step by step
Take a job in
Record what the customer brings in, whose it is and what needs doing, print their collection ticket, and check the item in with them.
Steps differ for laundries and dry cleaners.
Every job starts at the front counter: you record the item, whose it is and what needs doing, and the customer leaves with a collection ticket. Then you check the item in with them, so nobody argues later about a scratch that was already there.
Open Take in
On the Front counter, tap Take in, or press N. The drawer Take in a job opens: “What is brought in or booked, whose it is, and what needs doing. Prices and parts can be added on the job card.”
Choose what it is
Under What is it, choose the kind of item. Your own kind comes first: Device or appliance at a repair shop, Vehicle at a garage. The fields below change with it.
Add the customer
Search by name, phone or number and tap the customer. For someone new, tap New customer and type their name and phone: the phone is For the ready-to-collect text.
Fill in the item's details
For a device: Brand, Model, Serial or IMEI number, what was Left with it (charger, case …), the Fault reported and whether the Passcode or pattern given. Then the Condition when taken in, such as a scratch or a missing part. If the device has been in before, find it under Find the device or appliance in the register and its details fill in.
Say what needs doing
Write What needs doing in a few words, such as “Replace the cracked screen”. Add any Services you already know from your price list, and set Promised for if you have agreed a time with the customer. Prices and parts can also be added later, on the job card.
Add photos
Under Photos, take or choose photos of the item. Kila keeps them for the number of days your business has set, such as Kept for 180 days.
Tap Take in
Leave Print the collection ticket ticked to print the customer’s ticket straight away. Kila says Job taken in with the new job number, such as JOB-000081 opened., and the job goes on the job board as Received.
Check it in with the customer
The check-in opens straight away, such as Device check-in: “Answer every item; mark what needs work as advise or urgent so it can go on the estimate.” Answer each item (OK, Advise or N/A), or tap Mark the rest OK. To mark damage, choose the kind of mark, such as Scratch, and tap where it is on the drawing. Type the customer’s name under Agreed by, let them sign, then tap Complete. Kila says Device check-in completed: passed.
Tip
The button counts what is left to answer, such as 8 to answer, until every item has a result. If the customer cannot wait, tap Save for later and finish the check-in from the job card, under Checks.
