Step by step
Follow up fee balances
See who owes more than the clearance amount, oldest debt first, record a parent's promise to pay, and remind families by text.
Follow up, in the Fees office, lists every learner who owes more than the school’s clearance amount, oldest debt first, with the paying guardian, the last payment, any promise and the last reminder. Kila never sends reminders by itself: you choose who gets one.
Not available yet
SMS is in test mode until an SMS provider is connected: messages are kept in the message log and not delivered to phones. The list, promises and the record of who was reminded work in full.
Open Follow up
In Today › Fees office, choose the tab Follow up.
Narrow the list
Choose a class in the first box, or type an amount in Owing more than. Without an amount, the list starts at the school’s clearance amount, such as KES 2,000.
Record a promise, if a parent makes one
In the learner’s row, tap Promise. Kila asks Promise to pay and fills in what the learner owes.
Set the amount and the date
Change Amount (KES) to what the parent promised, and By to the day. Choose How it was made: Phone call, At the office or Text message, and add a note if you like.
Tap Record
Kila says Promise recorded: “Reminders for Felix Muriuki wait until 6 Nov 2026.” The row shows the promise, such as KES 4,650 by 6 Nov 2026.
Tick the families to remind
Tick each learner whose guardian should get a reminder, or the box at the top for the whole list. Kila adds up what the ones you picked owe.
Tap Remind by text
The button says how many, such as Remind 2 by text. Kila says Reminders sent, with how many guardians it texted and any it skipped: those who have paid, promised or have no phone. Reminded shows the day.
Payments still to place
Link to this section: Payments still to placeWhen paybill payments from before today wait under Paybill to place, Kila warns Place payments before reminding, and asks before it sends:
Tap Cancel and place them first: see Place a paybill payment. Send anyway sends the reminders now.
