Step by step
Take a card payment
Charge the card on your bank's card machine, then record the last four digits and the authorisation code from the slip. Kila keeps nothing else about the card.
The customer pays on your bank’s card machine, as usual. Kila records the payment from the machine’s slip: the last four digits of the card and the authorisation code, never the full card number.
Tap Charge, then Card
Kila asks for the details on the card machine’s slip.
Charge the card on the card machine
Kila says: “Charge the card on the card machine first. When it prints the slip, record it here.” Amount on the slip is the amount due.
Type the last four digits of the card
From the slip, in Last four digits of the card: “Never the full card number.”
Type the authorisation code
In Authorisation code: “Printed on the machine’s slip.”
Tap Record card payment
Kila completes the sale and says Paid in full by card. The receipt shows the card machine, the last four digits and the code.
After the sale: Money › Card machines
Link to this section: After the sale: Money › Card machinesCard payments are not cash, so they are not in your drawer. They wait under Money › Card machines: “Cards paid on the bank’s own machines, by machine and day, until the bank settles them into the bank account.” Waiting for the bank shows how much, and each machine’s day has Settle, for when the bank pays.
Good to know
The business’s card machines are listed on the same page. “The till asks which machine took the card when a branch has more than one.” With none listed, “Cards can still be recorded on an unlisted machine.”
Card says Cards go on the bank’s card machine
Link to this section: Card says Cards go on the bank’s card machineCard machine payments are off, so the till cannot record a card yet. Tap Use another method and take the payment another way. The owner switches on Card machines (“Record cards paid on the bank’s own machine.”) under Sales › Tips and service charge, on Rules.
Record card payment stays grey
Link to this section: Record card payment stays greyIt needs all four last digits and the authorisation code, and the machine when the till asks which one. Check the slip and type them as printed.
The slip shows more than the bill
Link to this section: The slip shows more than the billType the slip’s amount in Amount on the slip. Kila says, for example, KES 300.00 more than is due: Give change in cash pays the difference out of your drawer (“KES 300.00 from the drawer”), and with a customer on the sale, Keep as customer credit holds it on their account.
The payment was recorded as the wrong method
Link to this section: The payment was recorded as the wrong methodIt can be corrected on the sale afterwards: see Correct a payment method.
- Take cash
- Take M-Pesa
- Take a bank transfer
- Take more than one payment on a sale: part by card and the rest another way.
Next: card payments are not cash. Your shift lists them under Taken by method, apart from the cash you count when you close your shift.
