Write off waste at closing

Weigh the trim, bone, drip and spoiled meat at the end of the day and write it off as waste with the reason. Above your limit, the shop manager approves it before stock changes.

Not every kilo in stock is sold. At closing, weigh what is thrown out or lost, such as trim and fat, bone, drip and spoiled meat, and write it off as waste with its reason. Stock then matches what is in the cold room, and the owner sees what was lost and why.

  1. Open Stock adjustments and tap New adjustment

    Under Inventory › Adjustments.

Stock adjustments at Nyama Bora Butchery, with batches expiring soon at the top and New adjustment marked 1.Stock adjustments at Nyama Bora Butchery, with batches expiring soon at the top and New adjustment marked 1.
  2. Choose Waste as the reason

Choose your branch, then Waste under Reason: “Trimmed, spoiled or lost in handling: choose why from the business’s list.”

Steps 2 to 6 on one screen.
New stock adjustment at Kiambu town: the reason Waste (2), why it was wasted, Trim and fat (3), what happened, Weighed at closing: trim and fat from the display trays (4), 0.35 kg of beef on the bone (5), and Post adjustment (6).New stock adjustment at Kiambu town: the reason Waste (2), why it was wasted, Trim and fat (3), what happened, Weighed at closing: trim and fat from the display trays (4), 0.35 kg of beef on the bone (5), and Post adjustment (6).
  3. Choose why it was wasted

Under Why it was wasted, choose from your business’s list. A butchery’s is Trim and fat, Bone, Spoiled, Drip and chiller loss, Returned by customer and Left over, sold off cheaply.

  4. Say what happened

Under What happened, a short note such as “Weighed at closing: trim and fat from the display trays.” It is kept with the adjustment and in the audit log.

  5. Add each cut and its weight

Search for the cut, such as Beef on the bone, and type the weight thrown out, such as 0.35 kg. Add a line for each cut.

  6. Tap Post adjustment

Kila works out the value at cost. A butcher’s limit for stock adjustments is KES 0.00, so the adjustment waits for approval:

    Kila shows:

    ADJ-000059 sent for approval

ADJ-000059 is waiting for approval. Stock changes once someone with a higher limit approves it.
  7. Check it is waiting

The adjustment opens as Awaiting approval, with what it is worth at cost, such as “KES 215.95 is above Francis Njoroge’s limit. Stock has not changed yet; it changes the moment someone with a higher limit approves.”

ADJ waste at Kiambu town, awaiting approval: Kila says the value is above Francis Njoroge's limit and stock has not changed yet (7), with the line of beef on the bone at its cost.ADJ waste at Kiambu town, awaiting approval: Kila says the value is above Francis Njoroge's limit and stock has not changed yet (7), with the line of beef on the bone at its cost.

Good to know

In the drawer, the value can show as KES 0.00 and Within your limit to someone who cannot see costs, such as a butcher. Kila works out the value at cost when you post, and sends it for approval when it is above your limit.

Needs a manager

The shop manager sees it in Approvals, such as “ADJ-000059: Waste (Trim and fat) at Kiambu town, 1 line, KES 215.95”, taps Approve, then Approve again under Approve this request. Kila says Approved, the weight leaves stock, and the home page shows it under Meat sold today in kg, and waste, as Written off today with the reason.

Kila shows:

The adjustment was not recorded

Choose why it was wasted: Trim and fat, Bone, Spoiled, Drip and chiller loss, Returned by customer, Left over, sold off cheaply.

Waste always needs one of your business’s reasons. Choose one under Why it was wasted. The owner keeps the list under Administration › Till and returns rules, in Waste reasons.

Batches with a date that has passed show under Expiring soon at the top of Stock adjustments, with Write off expired. See Deal with expiring stock and Food safety.

Next: the Butchery closing clean and closing the tills: see Butchery.
