Deliver an order with proof

At each stop on My run, deliver the order line by line, enter who received it and the shop's GRN, and take any money. Kila invoices the order on the customer's account as you save.

My run is the driver’s phone screen. Once the dispatcher sends your truck out, your stops are there in route order, each with what it takes and what to bring back. At each shop you record what was delivered and who received it: that is the proof, and Kila invoices the order on the customer’s account from it.

  1. Open the stop

Kila opens My run when you sign in. The card at the top shows your truck, the gate pass and the money on you (Cash on you, M-Pesa, Cheques). Under Stops each shop shows its address, lines, value and any empties to collect, marked To deliver. Tap the stop, or the big Next stop button.

  2. Tap Deliver

The stop shows the order number, the shop’s LPO and whether it is on account, then the lines and the empties to collect. Tap Deliver.

  3. Enter who received the goods

Each line shows what was on the order. Leave it as it is when the shop took it all: “Change a quantity only when the shop took less; say why.” In Received by, type the name of the person who received the goods.

  4. Enter the GRN

Supermarkets and institutions give a goods received note: type its number in GRN or stamp number. For them it is needed; for other shops it is optional. You can add a Photo of the signed note.

  5. Tap Delivered

The button shows the value delivered, such as Delivered KES 13,171. It stays grey until the receiver’s name, and the GRN where one is needed, are in. If the shop pays now, choose Cash, M-Pesa or Cheque under Payment on account taken here first; an account customer usually pays later, so leave it at None. Kila says Gateway Hypermart Mlolongo delivered.

Deliver: both lines as ordered, Receiving clerk in Received by (3), GRN-88412 in GRN or stamp number (4), payment None, and Delivered KES 13,171 marked 5.Deliver: both lines as ordered, Receiving clerk in Received by (3), GRN-88412 in GRN or stamp number (4), payment None, and Delivered KES 13,171 marked 5.
  6. Check the stop

The stop now says Delivered: “Received by …, GRN …” with the value, and offers Print delivery note. The order is invoiced on the customer’s account straight away, and the order desk shows who received it.

Good to know

At Mombasa Road an order on account is invoiced when it is delivered with proof. The owner chooses this on the order desk under Desk settings, Invoice orders on account: When delivered, with proof, When they leave or By hand from the desk.

Type the quantity it took on the line. Kila asks Why less, with the business’s reasons: Not enough on the truck, Damaged in transit, Shop took less, Wrong product loaded, and others. Choose one before you save; the rest stays on the truck and is counted back in at the depot.

Tap Not delivered or Refused instead of Deliver, and choose why: Kila asks Why it was not delivered or Why the shop refused. “The goods stay on the truck and come back to the depot. The office decides what happens to the order.”

Enter the receiver’s name. For a supermarket or an institution, enter the GRN too: Kila does not record a delivery to them without it.

Next: when the last stop is done, tap Back at the depot and hand in the money: Settle a driver’s trip.
