Step by step
Review a shift
When a shift closes short or over beyond the tolerance, a supervisor reads the count and the cashier's note, then accepts the difference or disputes it for follow-up.
A shift that closes short or over by more than your tolerance goes for review. The difference is already posted to cash over and short, exactly as counted. The review records that someone other than the cashier looked at it, and what they decided.
Open the review queue
In Sales › Shifts, tap Review queue. The card Waiting for review at the top counts the shifts in it.
Steps 1 and 2 on one screen. Open the shift
Tap its row. A shift waiting for you says In review, with the difference under Verdict.
Read the count and the cashier's note
Kila shows Waiting for review with what was counted against what it expected, and the cashier’s note, such as: “SH-000252 closed short by KES 500.00. Counted KES 1,500.00, expected KES 2,000.00. Cashier’s note: Paid the crate deposit refund from the drawer and did not record it.” Below are the cash-up line by line, then the sales and the cash movements on the shift.
Steps 3 and 4 on one screen. Tap Accept variance
When the explanation holds. If it does not, tap Dispute instead: see What if.
Write a review note
Kila explains: “Short by KES 500.00. It is already posted to cash over and short. Accepting records your name and the time as the supervisor’s acknowledgement and closes the review.” Write what you checked under Review note. Accept and acknowledge stays grey until you do.
Steps 5 and 6 on one screen. Tap Accept and acknowledge
Kila says Variance accepted: “The shift is closed and the exception resolved.” The shift now shows Reviewed by your name and your note.
Needs a manager
Reviews need the right to manage shifts, which till supervisors and branch managers have, and nobody reviews their own shift. A shift in review also waits in Approvals: deciding it here settles that request too.
You do not accept the difference
Link to this section: You do not accept the differenceTap Dispute. Kila asks, for example, Dispute SH-000253? and says: “The shift stays flagged and the exception stays open in reconciliation until it is resolved.” Write What needs following up? and tap Dispute.
The shift says Disputed. Once the follow-up is done, open it again: Accept variance is still there.
A closed shift says to confirm
Link to this section: A closed shift says to confirmA shift that closed balanced or within the tolerance needs no review. In the list its status says to confirm until a supervisor checks it. Open it and tap Confirm reconciliation: “Balanced. Your name and the time are kept with the shift as the supervisor’s acknowledgement.” Tap Confirm reconciliation again. Kila says Reconciliation confirmed: “Your acknowledgement is kept with the shift.”
- How shifts and cash-ups work: what Kila expects in the drawer, and the tolerance.
- Close a shift: the cashier’s count and the note they send for review.
- Ask for a surprise cash count: check a drawer before the shift ends.
