Step by step
Sell on the forecourt device
Attendants tap their name on the forecourt tablet, type their PIN and take their nozzles, then sell fuel by amount or litres, by cash, M-Pesa, card or a fleet account.
The forecourt device is a tablet or phone at the pump island. It is signed in to Kila once, and each attendant uses it with a PIN of their own, so attendants need no Kila account. Every sale goes on the attendant’s own shift.
Before you start
Link to this section: Before you start- The tablet is signed in to Kila as the station’s forecourt device and shows Forecourt › Forecourt device: “tap your name and type your PIN.” Keep that page as the tablet’s bookmark. Signed out, the bookmark asks for the sign-in and then opens the device again.
- A supervisor has added you under Forecourt › Attendants and cash-ups, with your PIN.
Tap your name and type your PIN
Each attendant’s name shows Not on shift, or On shift with the nozzles they hold. Tap yours and type your PIN on the keypad: “Type your 4-digit PIN.”
Tick the nozzles you are working
With no shift open, Kila asks you to open one: “Take the nozzles you are working. The opening reading is the last closing reading; type the meter only if it shows something else.” Tick each nozzle of your island. Its opening reading shows beside it.
Steps 2 and 3. Tap Start shift
Kila says Juma Otieno is on shift SH-… and the device shows your name: “Signed in on this device. It locks by itself when nobody touches it.” The Fuel card lists your nozzles.
Tap the fuel and say how much
Tap the fuel, such as Diesel. Kila asks Diesel at KES 169.88 a litre: choose By amount or By litres, type what the customer asks for and tap Add. KES 2,000 of diesel is 11.773 L Diesel in the sale: litres go to three decimals. Lubricants, shop goods and car washes are under Car wash, lubricants and shop.
Steps 4 to 6. Tap Take payment and finish the sale
Kila asks you to Take KES 2,000.00. Choose Cash, M-Pesa, Card, Fleet or Vouchers. For M-Pesa, type the M-Pesa code if you have it, “From the customer’s message to the station’s till or paybill.”, and tick I have seen the M-Pesa message for KES 2,000.00. For cash, type the Cash given and Kila works out the change. Tap Complete sale: Kila says Sale S-….
Drop cash, and lock the device when you leave it
Your shift card shows your takings by tender and “Cash you should hold”. Tap Drop cash to hand cash to the cash office, and Lock when you step away: the next person types their own PIN.
The device has no discounts and no way to change a price: fuel sells at the pump price.
A fill on a fleet account
Link to this section: A fill on a fleet accountA truck on a fleet account pays with its fleet card, its QR or its registration. On Take payment, choose Fleet:
- Type or scan the Fleet card, QR or registration and tap Find. Kila shows the vehicle and its account, its fuel, what it has left today and the account’s credit left.
- Choose the Driver, type the Odometer (km) and, if the account gives one, the Order or slip number.
- Leave On the fleet account (otherwise the driver pays cash) ticked and tap Complete sale. Kila says On KCY 418M’s fleet account.
The PIN is wrong
Link to this section: The PIN is wrongThe keypad says how many tries are left, such as Wrong PIN. 4 tries left. Type it again. As the Attendants page says, “five wrong ones lock the attendant out for a while.” Ask a supervisor.
The truck takes another fuel
Link to this section: The truck takes another fuelKila refuses a fuel the vehicle does not take on its fleet account. If the driver wants it for something else, such as a can, choose Cash or another way to pay instead.
The device asks for a drop
Link to this section: The device asks for a dropTap Drop cash. Kila says how much you should hold: “You should hold about KES 23,073.70.” Type the amount, tap Record drop and hand the cash to the cash office: “Drop recorded. Hand the cash to the cash office.” The shift then shows “Drops so far KES 20,000; litres by meter are counted at the cash-up.”
Needs a manager
Your shift ends with a supervisor, not on the device: they read your meters and count the cash with you. See Cash up an attendant.
- Cash up an attendant: the end of the shift.
- Pump attendant: an attendant with a Kila account of their own.
- The shop beside the forecourt: shop goods on the forecourt.
Next: at the end of your shift, a supervisor cashes you up from the meters.
