Check the restricted product sales register

The register lists every restricted farm chemical sold, with the buyer's name, phone and ID number, the product's registration and the batch. Print it or export it for an inspector.

Each time a restricted product is sold, Kila writes a line in the register: when, which sale and branch, the buyer’s name, phone and ID number, the product with its class, WHO hazard class and PCPB registration number, the batch it came from and who sold it. Nobody types it up: the till fills it in with the sale.

  1. Open the register

In the menu, open Agrovet › Restricted product sales register. It opens with what it holds: “Every sale of a restricted farm chemical: the buyer’s name, phone and ID number, the products, their registration and batch.”

  2. Choose the period and the branch

Tap a period, such as 30 days or This year, or Custom for the dates an inspector asks about. Choose a branch, or keep All branches. The totals show the number of Sales, of Buyers, and how many have their Details missing.

  3. Read a line

Each line has the Date, the Sale, the Branch, the Buyer with their Phone and ID number, the Product and Quantity, its Class, Hazard class, Registration and Batch, whether the details are Recorded, and who Sold by. Under the totals, Kila says which products it counts, such as “Products marked restricted use, hazard classes IA, IB.”

  4. Look at the details missing

A line marked Details missing has no phone or ID number. “Sales Kila recorded from orders or offline keep what details there were”: Kila records such a sale with what it was given and marks it, rather than refusing a sale that has already happened. At the till itself, a restricted product cannot be sold without them.

  5. Open the sale

Tap a line to open its sale.

  6. Print or export it

Tap Print, or Export CSV to save the lines as a file with the buyers’ ID numbers. For a long period, Export in background “Runs on the server and leaves a CSV to download. Use it for long ranges.”

The owner and anyone whose role includes the reports can read the register. At Mkulima Agrovet, Agnes Waithera, the external auditor, reads the same lines and changes nothing.

No restricted product was sold in the period at that branch. Choose a longer period, such as This year, or All branches. A product sold without being asked for the buyer is not restricted under your rules: see which products count in Selling farm chemicals.

The sale came from an order or a till that was offline. Ask the person named under Sold by, and keep what they find with your records: Kila does not change a line once it is written.

Next: check the batches near their date or recalled, under Agrovet › Expiry, returns and recalls: see Deal with expiring stock.
