Step by step
Invoice unbilled time and expenses
Pick a client's unbilled hours, expenses and milestones that are due, check the invoice Kila prepares, and put it on the client's account in one step.
Steps differ for accounting firms.
Time and expenses stay Unbilled until they are invoiced. The Unbilled tab gathers them by client, so one invoice can take in the work on several of a client’s projects, and nothing is billed twice.
Open the Unbilled tab
Open Practice › Engagements (Projects in most firms) and tap the Unbilled tab. Each client has a card with what they owe already, and under it each project’s unbilled hours (who, how long, what was done), expenses and milestones, each with its value.
Choose what to bill
Everything is ticked, except milestones whose date has not come. Untick what should wait for a later invoice. Hours covered by a monthly retainer show at KES 0.
Tap Invoice
The button shows the total of what is ticked, such as Invoice KES 18,000.
Check the invoice, then invoice it
Kila shows the invoice before it makes it: “On Paul Mutiso’s account. Due on their credit terms.” Time is billed as a line for each person, such as VAT compliance review, 2026: James Mutua (Manager) · 2 h at KES 9,000. Tap Invoice KES 18,000.00.
Read the result
Kila says:
The work is now Billed on the project’s Time tab, and the invoice is on the project’s Invoices tab and on the client’s account.

The month-end billing run. Mizani Associates bills most work through Practice › Billing, where each bill is drafted, written down if need be, and approved by a partner before it is invoiced: see Run the month-end billing.

Some work should never be billed
Link to this section: Some work should never be billedTick it and tap Write off instead. Kila asks Write off the work chosen?: “It will not be billed. It stays on the cost of the work.” Give the reason, then tap Write off.
Needs a manager
Invoicing and writing off are for managers: the owner, engagement partners and managers, project leads and property managers. The rest of the team sees their own time as Unbilled or Billed under Timesheets.
- Record your time: how time gets onto a project.
- Bill a fixed fee by milestones: milestones come here once their date comes.
- Remind a client about overdue invoices: when the invoice is not paid.
