Your role

Inventory manager

You keep the stock right in every branch. You count it, approve the adjustments others make, deal with expiring and returned goods, and say what needs buying.

Kila describes the role as “Owns stock accuracy across branches.” You see the stock everywhere, and the adjustments, counts and returns that change it come to you.

Kila opens your home page. Low or out of stock (1) lists the products at or below their reorder point, with Reorder. Approvals and reviews waiting (2) counts the requests waiting in the business; the ones your role decides are in Approvals. Your menu has Products, Inventory (3), Warehouse and Purchasing, and Reports.

  1. Check what is running low: See your stock on hand and Reorder stock.
  2. Decide the adjustments others raised, such as waste or damage: in Approvals, or on the adjustment itself with Approve and post. See Adjust stock.
  3. Count, a section or the whole store, and post the count: Count stock.
  4. Sell or move what is about to expire: Deal with expiring stock.
  5. Inspect what customers bring back before it goes back on the shelf: Inspect returned goods.
  6. Move stock between branches: Transfer stock between branches.

In Approvals, each stock adjustment (1) shows who raised it, why and its value at cost. Approve (2) or Reject it: the stock does not change until it is approved.

Buying. Your role asks for stock with a requisition on Purchasing › Requisitions. The buyer or the owner turns it into a purchase order: there is no New purchase order for you.

A storekeeper’s adjustment is waiting. Where do I approve it? In Approvals, or open it and tap Approve and post.

Why does my home page count more requests than Approvals shows? The card counts what waits in the whole business, such as expenses and leave. Approvals lists only what your role decides.

Can I order from a supplier? Not yourself. Raise a requisition, or share the reorder list with the buyer: see Reorder stock and Procurement officer.
