Step by step

Change a product

Open a product and edit it: add a barcode, a pack size such as a crate of 24 with its own barcode and price, its tax category or KRA item code, or archive it.

Who can do it
Owner, Administrator, General manager, Inventory manager and Merchandiser
Find it
Products, then Catalog, or search catalog in Kila
Time
3 minutes

A product’s page holds everything about it: its barcodes, the packs it comes in, its price and tax, and its stock. To add a new product, see Add your products.

  1. Find the product

Open Products › Catalog and type in Name, SKU or barcode. Tap the product to open it.

  2. Tap Edit

The product opens in a panel, such as Edit Ginger ale 500ml, in parts: Basics, Price and tax, Stock control, Packaging and Availability and attributes.

  3. Add a barcode

In Barcodes: “Scan or type each barcode, then press Enter. A product can carry several.” Each shows under the field, with a cross to take it off.

Edit Ginger ale 500ml at Baraka Wines and Spirits: Barcodes with its own barcode and a second one, 6161234500017, just added (3).Edit Ginger ale 500ml at Baraka Wines and Spirits: Barcodes with its own barcode and a second one, 6161234500017, just added (3).
  4. Add a pack size

Under Packaging, “Larger packs with their own barcode. Scanning a pack barcode counts all the units in it.” Tap Add a pack size and fill in its name, how many units it holds, its barcode and its price, such as a Crate of 24 at KES 2,880.

Packaging: Crate of 24, 24 pc, the crate's barcode 6161234500024 and its price 2880 (4), with Add a pack size and Save product.Packaging: Crate of 24, 24 pc, the crate's barcode 6161234500024 and its price 2880 (4), with Add a pack size and Save product.
  5. Check its price and tax

Under Price and tax: the Selling price, the Tax category, such as B: VAT 16%, and the KRA item code: “eTIMS reports the product with this code.” The Average cost is “Read-only. Receipts update it.”

  6. Tap Save product

Kila says Product saved: “Ginger ale 500ml (MX-GING-500) is updated.” Kila now finds the crate by its barcode, as 24 bottles of Ginger ale 500ml.

Tip

To change many prices at once, see Change prices in bulk and Schedule a price change. Units of measure are under Organise categories, brands and units.

The Type decides how the product behaves at the till and in stock. Kila explains each one as you choose it:

TypeWhat Kila says
Stocked“Physical goods counted on the shelf. Every sale, receipt and transfer moves stock.”
Non-stocked“Goods you sell without tracking a quantity, for example items ordered in on demand.”
Service“Work or time, sold without stock. It can use materials from stock (add them below).”
Bundle or kit“A kit of other products sold as one. The components leave stock; the bundle itself holds none.”
Assembled“Built from components on the Assemblies page. Components are reserved, used and costed into it.”
Consumable“Stock used up in the business or in services, such as cleaning supplies or workshop oil.”
Kila shows:

The product was not saved

Barcode 6160001758761 already belongs to Cola 500ml.

Each barcode belongs to one product. Take it off with its cross, or check the barcode on the label.

Tap More, then Archive. Kila asks first: “It disappears from the till and lists. Its stock, movements and sales history stay intact.”
