Count the stock before the tills open

With the opening count on, someone in a counting role at each branch counts chosen products blind before any till opens. The tills open once the count is sent.

An opening count is a quick blind stock count at the start of the trading day. The owner chooses who counts and what. Until someone sends the day’s count at a branch, people in those roles at that branch cannot open a till or use any other part of Kila. Owners are never held back.

The owner does this once, under Administration › Settings, on the Opening count tab: Opening stock count, “Before the first till opens each trading day, the roles you choose count the stock blind. Owners get the results.”

  1. Open the Opening count tab

In Administration › Settings, choose Opening count.

  2. Turn on Count the stock before the tills open

“Until the count is sent, people in the roles below cannot open a till or use any other part of Kila. Owners are never held back.”

Steps 2 to 5 on one screen.
Settings, Opening count at Baraka Wines and Spirits: Count the stock before the tills open is on (2), Cashier is ticked under Who counts (3), Most valuable is chosen under What to count with 5 products (4), and Save changes (5).Settings, Opening count at Baraka Wines and Spirits: Count the stock before the tills open is on (2), Cashier is ticked under Who counts (3), Most valuable is chosen under What to count with 5 products (4), and Save changes (5).
  3. Choose who counts

Tick the roles under Who counts: “One count per branch each day unlocks everyone in these roles at that branch.”

  4. Choose what to count

Hot products: a few of the products the branch sells most often, picked each day “so nobody can tell in advance what will be checked”. Most valuable, then the Number of products: “The products holding the most money on the branch’s shelves.” Chosen categories, or Everything.

  5. Tap Save changes

Kila says Saved: “The change is in the audit log.” From then on, people in the counting roles meet the count when they open Kila, until the day’s count at their branch is sent.

  1. Tap Start the count

When you sign in, Kila shows Count the stock before you open instead of the till, such as: “Before any till opens today, count the most valuable products on the shelves at Kilimani (Yaya Centre). Tills and the rest of Kila stay locked until you send the count.” This is a blind count: “You will not see how many Kila expects. Count what is really there. The owner gets your count compared with the books.”

  2. Count each product

Scan a barcode or type the SKU in the box at the top: “Each scan adds one; a pack barcode adds the whole pack.” Kila says, for example, Counted Glen Akili Single Malt 750ml: 1 so far. Or type the quantity on the product’s line and press Enter. Progress shows how many you have counted.

Steps 2 and 3 on one screen.
Count the stock at Kilimani (Yaya Centre): five products, each with the quantity counted and no expected figure (2), Progress 5 of 5 counted, and Send the count (3).Count the stock at Kilimani (Yaya Centre): five products, each with the quantity counted and no expected figure (2), Progress 5 of 5 counted, and Send the count (3).
  3. Tap Send the count

Kila asks Send the count for review?, such as: “Every product is counted. Once sent, the count goes to the owner for review and cannot be changed here.” Tap Send for review.

  4. Tap Open a till

Kila says Sent for review: “Thank you. Count SC-000006 has been sent to the owner for review. You can now open your till.” Tap Open a till and open your shift.

Sent for review: the opening count has gone to the owner, nothing in stock changes until they review it, and Open a till is marked 4.Sent for review: the opening count has gone to the owner, nothing in stock changes until they review it, and Open a till is marked 4.

Good to know

The owner is told straight away, such as Opening count SC-000006 at Kilimani (Yaya Centre): 4 products differ, with the count compared with the books. The count then waits in Stock counts for review: “Nothing in stock changes until an owner posts it.” There is one count per trading day, so a late night past midnight does not ask for a new one.

If you send the count before every product is counted, Kila asks you to confirm, such as The 2 products not counted are not on the shelf: “They are recorded as counted zero.” Send for review stays grey until you tick it, or tap Keep counting and count them.

Next: open your shift and start selling.
