How it works

Features A to Z

Kila is made of modules, such as Point of sale, Stock and Loyalty. Your kind of business and your plan decide which ones you have, and the owner switches the optional ones on.

Find it
Administration, then Plan and modules, or search plan and modules in Kila

Kila is made of modules. Each one does a part of the work: Point of sale runs the tills, Stock keeps count of every item, Loyalty rewards regular customers. A business has the modules that fit what it does, within the plan it pays for, and nothing it does not need clutters the menu.

  1. Your plan includes it. Starter, Business, Growth or Enterprise. Each plan has its own modules and limits.
  2. Your kind of business uses it. When you sign up, Kila sets the business up for what it does. Some modules come with that, others are optional, and a few are not offered.
  3. The owner switches it on. An optional module stays off until the owner switches it on, under Business profile.
  4. Its records are complete. eTIMS, hire purchase and partner BNPL also need records, such as a licence, on the Compliance tab of Settings.

Grouped as Plan and modules groups them.

  • Point of sale: tills, shifts, checkout, receipts, returns and quotations.
  • Online store: a web shop with M-Pesa checkout, for collection or delivery.
  • Field and van sales: vans and reps selling, taking orders and collecting on a route.
  • Stock: what each branch holds and what it is worth, with adjustments, transfers and counts.
  • Warehouse: bins, putaway, picking, packing and dispatch.
  • Purchasing: suppliers, purchase orders, receiving and supplier invoices.
  • Supplier portal: suppliers see and acknowledge their purchase orders.
  • Supplier returns and warranty: what suppliers owe back, and warranty claims.
  • Services: the services you sell and the staff and rooms that deliver them.
  • Appointments: the diary, bookings, deposits and reminders.
  • Job cards: work taken in, estimated, done and invoiced.
  • Service packages: prepaid sessions, retainers and recurring billing.
  • Customers: one record for each customer, with what they bought and owe.
  • Loyalty: points earned on every sale and spent at the till.
  • Credit: selling on account and in instalments, and collecting what is owed.
  • Layaway: goods reserved while the customer pays in parts.
  • Hire purchase: goods taken home and paid over time, owned by the business until paid.
  • Partner BNPL: instalments financed by a financing partner, not by you.
  • Customer portal: customers see their statements, agreements and bookings online.
  • Books: the double-entry ledger and the financial statements.
  • Reconciliation: M-Pesa and bank statements matched to what Kila recorded.
  • Advanced reports: comparisons, profitability, turnover and dead stock.
  • Expenses: what the business spends, approved and posted to the books.
  • eTIMS: KRA fiscal invoices for sales and credit notes.
  • Insights: the morning brief, profit, leaks and what needs your attention.
  • Statements: M-Pesa and bank statements checked line by line.
  • Accounting connectors: QuickBooks Online or Xero, when the books are kept there.
  • Payments out: paying suppliers, bills and staff, approved by a second person.

Each plan includes the one before it and adds more. Prices are a month, plus VAT. Enterprise is arranged with Kila’s sales team.

  • Business adds Job cards, Service packages, Loyalty, the Customer portal, Statements, Staff and attendance, Payments out, Payroll, Branch operations and Supplier returns and warranty.
  • Growth adds Warehouse, Layaway, Delivery, API and webhooks, the Online store, Accounting connectors and Field and van sales.

  • Partner BNPL is on no plan: Kila arranges it with the business.

You choose the plan when you sign up, and the trial is free: the set-up list says when it ends, and “Everything you set up stays when you subscribe.” There is no button to change plan inside Kila: ask Kila and its team changes it for you.

The owner, and anyone whose role includes billing or settings, opens Administration › Plan and modules: “What your subscription includes, how much of it you use, and which modules are switched on.”

Plan and modules at Tumaini Traders: the current plan, Growth, on trial, KES 14,500 a month plus VAT, with the day the trial ends (1), and Limits and usage, such as 1 of 12 branches with 11 left on the plan (2).Plan and modules at Tumaini Traders: the current plan, Growth, on trial, KES 14,500 a month plus VAT, with the day the trial ends (1), and Limits and usage, such as 1 of 12 branches with 11 left on the plan (2).

  2. Limits and usage: how many branches, users, tills and the rest you use against your plan, such as 11 left on your plan.

Below them, Your modules lists every module switched on, by category. Select one to see its switches: what is on and what is off.

Good to know

The switches inside a module are Kila’s to change: “Feature switches are managed by Kila. Ask your account manager to change one.” A few have their own switch on their page, such as Gift vouchers under Sales, which says “Switch them on below.”

At the bottom, Not on your plan lists the rest, “For information only.” Each line says which plans include the module, such as In Enterprise, or Arranged with Kila for partner BNPL.

Not on your plan: Appointments is In Starter, Business, Growth, Enterprise (1), Hire purchase is In Enterprise (2), and Partner BNPL is Arranged with Kila (3). Each is marked Not on plan. Not on your plan: Appointments is In Starter, Business, Growth, Enterprise (1), Hire purchase is In Enterprise (2), and Partner BNPL is Arranged with Kila (3). Tip

A module your plan includes but that is not switched on for your business also shows here, marked Not on plan, with your own plan in its list (1). You do not need Kila for it: switch it on under Business profile, as below.

Only the owner switches modules on and off. Open Administration › Business profile. Its Modules card shows “What the Shop profile gives this business, within your plan” (with your kind of business in place of Shop), in three groups:

  • Included: “Part of this profile.” Each says In use, or Upgrade to use when your plan does not have it.
  • Optional: “Off until an owner switches them on. Modules they need come with them.” Each has a switch, or Not in your plan.
  • Not available for this profile: Kila support can grant one when a business needs it.
Business profile, Modules: Loyalty is In use (1), Hire purchase says Upgrade to use (2), and under Optional, Appointments has its switch, off (3).Business profile, Modules: Loyalty is In use (1), Hire purchase says Upgrade to use (2), and under Optional, Appointments has its switch, off (3).

Turn on a module’s switch. Kila says Switched on: “The menu updates straight away.” When the module needs another one, that comes too, and Kila names it: switching on Payroll says “Staff and attendance came with it, because it needs them.” Turning a switch off takes the module out of the menu; its records stay in Kila.

Someone other than the owner sees the page but cannot change it: “Only an owner can change the business profile. You can see it here.”

eTIMS, Hire purchase and Partner BNPL are regulated. The owner records what each needs under Administration › Settings, on the Compliance tab: “These records unlock regulated modules.” Each module shows how many records are missing until it reads Records complete. See eTIMS for the records and what they unlock.
