Step by step
Close a month
Once a month's books are right, close it. Kila checks what is still open, then locks the month, so its figures stop changing and later corrections post in the current month.
Kila keeps “Monthly periods. Closing one locks it: anything dated inside it is refused, and corrections post in the current month.” Close a month when everything in it is recorded and checked: its profit and loss, its VAT and its statements then stay as they were reported.
Open Periods
Go to Money › Books and tap Periods. The month you are in is Current; an ended month is Ready to close. Kila points at the oldest one, such as July 2026 has ended and is still open: “Run the checks, clear what they find, then close it.” Tap Review and close.
Read the checks
Kila explains: “Closing locks the period. Nothing can be posted into it afterwards; corrections post in the current period.” It shows the month’s Revenue, Gross profit, Expenses and Net profit, then its checks: Shifts still open, Approvals waiting from this period, Payments not confirmed yet, Approved expenses not yet paid, Stock adjustments not posted, Supplier invoices not matched, Purchases and expenses without eTIMS support, Statements not imported to the month end, Statement lines not matched and Reconciliation exceptions still open. Each says None, or how many are left to clear or to review, with Open.
Steps 2 and 3. Tap Close period
When Every check is clear, tap Close period. Kila says July 2026 is closed: “Corrections now post in the current period.” The month shows Closed, with who closed it and when.
A check is not clear
Link to this section: A check is not clearIt says how many are left to clear or to review. Tap Open beside it: it takes you to what is left, such as the purchases without eTIMS support in Tax. Clear them, then come back. Close the months in order: a later month says, for example, “Close periods in order, starting with July 2026.”
A closed month needs a correction
Link to this section: A closed month needs a correctionPost it in the current month. If it must go in the closed month, the owner reopens the last month closed: Reopen, “Reopening lets postings into this period again. It is recorded in the audit log with your reason.” with Why reopen it?, then Reopen period. Kila says Period reopened: “Post the correction, then close it again.”
Needs a manager
Closing needs the period close permission, which the owner, the general manager and the accountant have. Only the owner reopens a month.
- Reconcile M-Pesa and bank statements: statements matched before the month closes.
- Prepare the VAT return: the month’s VAT.
- Read your profit and loss: the month’s result.
- Post a journal: corrections, in an open month.
