How it works

How loyalty points work

Customers earn points on every sale and spend them at the till. Kila moves them up the tiers, lets points expire, and keeps every change.

Find it
Customers, then Loyalty, or search loyalty in Kila

“Points are earned on every sale and spent at the till. They are not cash or stored value.” A customer earns points when they are on the sale, so their points are kept on their own record.

  1. Earn. Every sale to a customer earns points: at Mwangi Hardware, 1 point for each KES 100 spent. “A KES 2,500 sale earns 25 points, worth KES 25.00 off a later purchase.”
  2. Move up. “Members move up automatically as their points grow.” Mwangi Hardware has Standard from 0 points, Silver from 500 and Gold from 2,000.
  3. Spend. The customer spends their points at the till. Each point is worth KES 1.00 at Mwangi Hardware.
  4. Expire. Points not used expire after a set number of days: 365 at Mwangi Hardware. “Returns reverse the points earned on the returned items.”

Customers › Loyalty shows the Points outstanding and what they are worth at the till, the Members with points, the points Earned, last 30 days and the points Expired, last 30 days. Below are the Tiers (2), with how many members and points each holds, and the Programme (1): Points per KES 100 spent, Value of one point and when Points expire after. The Members tab lists who holds points, and the Points ledger lists every entry.

Tap Adjust points (3) to give a customer points, such as a birthday bonus, or to correct a mistake: “Every adjustment is kept in the audit log with your name and reason.” Choose the customer, then Add or Remove, the Points and the Reason (4), and tap Add points (5). Kila confirms, for example: “Mwangi Maina now has 78 points (Standard).”

That did not go through

Mwangi Maina has 28 points. You can remove at most that many.

A customer’s points never go below 0: remove at most what they have.

The customer’s Loyalty card (6) shows their points, their tier, what the points are worth at the till and how many more they need for the next tier. Their Loyalty tab lists every point they earned and spent.

The owner changes the programme with Edit on the Programme card, or under Settings › Loyalty: points per KES 100, the value of a point, when points expire, and the tiers. “Changes apply to new sales. Existing points keep their value.”

Good to know

Points expire on their own: Kila checks every few hours. Run expiry does it now: “Points older than 365 days that were not used will expire. This also runs on its own every few hours.”
