Take back a job under warranty

When a repaired item comes back, link the new job to the earlier one. Inside the warranty, Kila does not charge for the labour.

Every job you hand over carries a warranty from the day it is collected: the job board shows it as Warranty to a date. If the item comes back with the same fault, take it in as a return linked to the earlier job. Kila keeps the two together, so you can see what comes back, and with Free labour on warranty returns on in Job settings, the labour on the return is not charged.

  1. Take the item in and add the customer

On the Front counter, tap Take in and find the customer, as for any job. See Take a job in.

  2. Find the item in the register

Under Find the device or appliance in the register, type its serial or IMEI number and tap it. Its details fill in, and Kila says Under warranty, with the earlier job and the date its warranty runs to, such as “JOB-000117 to 28/01/2027. Link it below if this is a return.”

Take in a job for Wambui Njoroge: her Samsung Galaxy A24 found in the register by its IMEI, and Kila's note Under warranty, with the earlier job and the date its warranty runs to, Link it below if this is a return (2).Take in a job for Wambui Njoroge: her Samsung Galaxy A24 found in the register by its IMEI, and Kila's note Under warranty, with the earlier job and the date its warranty runs to, Link it below if this is a return (2).
  3. Link the earlier job

Under Brought back from an earlier job, choose the job it came back from. “Inside the warranty, labour is not charged.” Then write What needs doing, such as “Not charging again”.

Lower in the drawer: Not charging again as what needs doing, and Brought back from an earlier job set to the earlier job (3), with the note Inside the warranty, labour is not charged.Lower in the drawer: Not charging again as what needs doing, and Brought back from an earlier job set to the earlier job (3), with the note Inside the warranty, labour is not charged.
  4. Tap Take in

Kila says, for example, “JOB-000118 opened. Under warranty.” Do the check-in with the customer as usual.

  5. Work on it as a warranty return

The job card says Rework: “Labour added now is not charged. Time is still recorded as job cost.” Labour added to it shows (rework, no charge) at KES 0.00, and the history says, for example, “Brought back from JOB-000117, under warranty: labour is not charged.” On the job board it shows Back from the earlier job, warranty.

The return's job card: the Rework note, Labour added now is not charged (5), the labour line Charging port replacement (rework, no charge) at KES 0.00 (6), and a screen protector at its usual KES 500.00.The return's job card: the Rework note, Labour added now is not charged (5), the labour line Charging port replacement (rework, no charge) at KES 0.00 (6), and a screen protector at its usual KES 500.00.

Good to know

Only labour is free on a warranty return. Parts used on it are charged as usual, and the technician’s time still counts as the job’s cost, so you can see what returns cost the business.

The warranty has ended, or the item was never on a job here. You can still choose the earlier job under Brought back from an earlier job, so the two stay linked; outside the warranty the labour is charged as usual.

There is no Brought back from an earlier job

Link to this section: There is no Brought back from an earlier job

Kila lists the customer’s collected jobs there, so add the customer first. If the item was collected under another customer’s name, find that customer instead.
