What's new in Kila
What changed in Kila, release by release, and what you and your team can do now that you could not before.
The newest changes come first: each entry is a day Kila was updated, with what your business can now do.
31 October 2026
Link to this section: 31 October 2026- Help from inside Kila. Help for this screen, in the menu under your name, opens this Help Centre on the page for the screen you are on; the till’s menu has Help, and the sign-in page Help with signing in. See Get help.
- Only money that really came is recorded. On a live business Kila no longer confirms M-Pesa prompts, card payments or a credit partner’s decisions through its own test services. Until Kila’s M-Pesa connection is live it sends no prompts and says so: take the M-Pesa code instead. Cards go through your bank’s card machine. See Take M-Pesa and Take a card payment.
- The drawer adds up. A deposit on a job, a booking, a lay-by or a hire, and a payment on account, taken while your shift is open, are now in the cash Kila expects for your shift, and refunds paid from the drawer come off it. See Close a shift.
- Returns come off the supplier’s invoice. Goods returned after the supplier’s invoice was approved now come off that invoice, so paying it pays only what is left. See Return goods to a supplier.
- Bars with a door. Entry charges at the door go on the door person’s own shift, and the door checks ID for every group let in. See Door.
- Pharmacies and clinics. An allergy recorded in the plural or by its class, such as “Sulfonamides” or “ACE inhibitors”, now raises the alert. See Dispense a prescription.
- Schools. The gatekeeper and the school nurse find learners for passes and sick bay visits themselves. See Let a learner out on a pass.
- Also fixed. Adding a supplier no longer fails after suppliers were brought in from another system. Cancel on “Go live on Kila?” and on a pump price change now cancels. Boarding and transport opens the first time.
29 October 2026
Link to this section: 29 October 2026- Law firms. A legal practice now runs on a platform of its own: matters from draft to archive, conflict searches and client identification, the court diary and deadlines, documents, time, fee notes and client money. See How a matter moves and Issue a fee note.
- Wholesalers and distributors. The order desk takes orders from the keyboard, each truck leaves with its load checked and a gate pass, drivers deliver line by line on My run, and the cash office settles each trip. See Take an order at the order desk, Send a route’s run out and Settle a driver’s trip.
- Restaurants and bars. Waiters and bartenders work on their own phones in Kila Floor, the kitchen works from its display, the host stand keeps the waitlist, and End of day shows last night on one page. A comp stays on the bill, marked Complimentary. See Kila Floor, the waiter’s phone, Take a booking and run the waitlist and Close the night and check last night.
- Hotels. Front desk shows today’s arrivals, departures and guests in the house, a stay moves on the room grid with a drag, the night audit lists what to put right before it closes the day, and room attendants work from My rooms on their phones. See How the front desk and the room grid work and Run housekeeping from the board.
- Salons, workshops and firms. Salons and spas confirm tomorrow’s clients from one list; technicians work from My jobs on their phones, with quality checks and a parts desk; firms record time on My day with a running timer and run the month-end billing. See Confirm tomorrow’s clients, Technician and Run the month-end billing.
- Clinics, factories and schools. Each clinic desk has its own page, with a claims check before bills go to insurers; operators record output and stops on the line screen, and every delivery is tested at intake; teachers take registers and roll calls on their phones, and the fees office takes one payment for several children. See Run the front desk, Receive a delivery at intake and Take fees at the counter.
- Connections. Hotels can connect a channel manager or booking sites, door locks and ID scanners, and restaurants can take orders from delivery apps and hold a guest’s card on an open bill. Each one goes live once the provider has approved Kila or your business. See Connect booking sites and channel managers and Set up door locks and ID checks.
- A home page for everyone. Staff who do not see the business’s figures get the cards for their own work, many roles start on their own screen when they sign in, and auditors can read every record without changing anything.
- Smaller changes. Receipt printers connect by Bluetooth from Chrome on Android, and receipts on cable printers now show tips, the service charge and the card machine’s details. A courier’s depot sees the parcels coming to it as well as those booked there, and a clinic visit or a gym pass paid at a desk goes on the open shift of whoever took the money. See Set up a receipt printer, drawer or scale.
25 October 2026
Link to this section: 25 October 2026- Tabs. Taking an item off a tab puts it back in stock; only Spilt or broken counts it as waste. A manager can cancel a bill that still has items on it, and everything on it goes back in stock.
- Folios. A hotel can take a charge off a folio, and a sale charged to a room that is voided or returned comes off the folio too. See Post charges and take payments on the folio.
- Job cards. Cancelling a job puts the parts already used back in stock, or writes their cost off when they stay fitted. See Add parts and labour to a job.
24 October 2026
Link to this section: 24 October 2026- Split payments. A sale can be paid in up to eight parts, each by any method, with change for a cash part at once, and a refund goes back the way the sale was paid. See Take more than one payment on a sale.
- Overpayments and corrections. When M-Pesa, a card or a bank transfer brings in more than is due, the cashier gives the difference as change or keeps it as the customer’s credit. A payment recorded by the wrong method is corrected on the sale, and one paid two ways can be split. See Take M-Pesa and Correct a payment method.
- Blind stock counts. A stock count can be blind, so whoever counts does not see what the books expect. See Count stock.
- Tots for wines and spirits shops. A tot is its own product, poured from a bottle: opening a bottle puts its tots into stock, and Inventory › Tots shows what each bottle’s tots earn against what it cost. See Shops.
- Plans. Starter now covers two branches, five users and three tills, and includes Credit, Insights, eTIMS and Multi-branch. Business covers six branches, Growth twelve, and Enterprise is priced through Kila’s sales team. Prices did not change. See Your plan and billing.
22 October 2026
Link to this section: 22 October 2026- Today’s figures follow your trading day. The home page’s sales today start when your business’s day changes, not at midnight, so a sale after midnight counts for the evening before, and the morning brief’s yesterday is the last whole trading day. See Your home page.
- Deposits. Cash left in a till for the next shift’s float is no longer counted twice in the deposit reminder. See Deposit cash.
21 October 2026
Link to this section: 21 October 2026- The trading day. Sales › Trading day puts one day’s selling and money on one page: sales against a typical day, how customers paid, each till’s cash against what it should hold, and what a manager should look at. See Check the trading day.
- Deposit reminder. Where the owner has switched daily deposits on, a reminder shows on every screen for cashiers and the roles above them until a till’s cash is deposited, and Sales › Deposit cash records it. See Deposit cash.
- Margin watch. Type the margin you want for a product and Kila works out its new price; the owner can keep it as that product’s own minimum. See Fix prices below the minimum.
20 October 2026
Link to this section: 20 October 2026- Shops, pharmacies and fuel stations. Shops print X readings and Z reports for every shift and give products KRA item codes for eTIMS; butcheries break carcasses down and sell meat by amount; pharmacies keep a pharmacist on duty, with repeats and owings; and fuel stations have the forecourt device, attendants’ cash-ups from the meters, fleet accounts and EPRA’s pump prices. See Print an X reading, Break down a carcass, Sign on duty and Cash up an attendant.
- Restaurants, bars and hotels. Restaurants hold and fire courses and take table bookings, and bars sell measures with their pour cost; hotels price rooms by rate plan with their meals, set selling restrictions such as a minimum stay, and have a booking page of their own. See Hold and fire courses, Count the bar and read the variance and Set up rooms, rates and seasons.
- Gyms and studios. They are a kind of business of their own, Fitness & memberships: members check in at the front desk, memberships bill themselves every period, and members book classes with a waitlist. See Gyms and studios.
- Garages, salons and property managers. Garages and workshops check vehicles and devices in with checklists and get each line of an estimate approved; salons book several services in one visit; property managers keep units, tenancies, rent and the landlords’ payouts. See Get an estimate approved and Property management.
- Clinics, schools, factories, couriers and distributors. Clinics register patients, triage them and order lab tests; schools keep timetables, exams and report cards; factories hold each batch until it is released; couriers book parcels with tracking numbers and waybills and send them on manifests and runs; distributors run their principals’ trade schemes and claims. See Triage a patient, Book a parcel and Run a trade scheme.
- Tips, service charge and card machines. Tips and a service charge can be taken at any front desk, both held for the staff until a share-out pays them, and a card paid on the bank’s machine is recorded with its last four digits and authorisation code. See Service charge and tips and Take a card payment.
- Money and Insights. Kila keeps a balance for every place the business holds money and records owner money apart from sales and expenses; Insights and profit are on one page; and the owner can switch on daily deposits of till cash to M-Pesa. See How money accounts work, What Insights shows and Deposit cash.
- Signing up. Sign-up shows what your type of business sets up, and asks what else the business does, such as selling alcohol, so the rules for it apply from the start. See Sign up your business.
19 October 2026
Link to this section: 19 October 2026- Kila shaped to your kind of business. Each kind of business has its own main screen, home page, set-up checklist and words, and a business that must follow rules by law, such as for alcohol or medicines, has them at every till. The owner sees it all under Administration › Business profile. See What Kila is and how it fits your business and Your business profile.
- New modules. Insights, Statements, Staff and attendance, Payroll, Payments out, Branch operations, the Compliance calendar, Supplier returns and warranty, and Field and van sales, where your kind of business and your plan include them, and gift vouchers at the till. See Features A to Z and Sell a gift voucher and take one as payment.
- Move to Kila. Bring in your products and what customers and suppliers owe from a spreadsheet: Kila checks the whole file before anything is written. See Bring your products into Kila and Move to Kila from another system or a daftari.
- Till devices and approvals. The owner approves the devices that sell for the business, and only approved devices keep selling when the connection drops. Requests can be approved from a phone. See Approve a till device and Approve or reject a request.
- Printers, drawers and scales. Each till’s receipt printer, cash drawer and scale are set up from the browser, with nothing to install. See Set up a receipt printer, drawer or scale.
- Menu layouts. The owner arranges Kila’s menu for everyone in one of four layouts: Classic, Hubs, Workspaces or Processes. See Choose a menu layout.
