A fee structure is what one class pays for one term: tuition and the other fees every learner pays, and the optional items (transport, lunch, boarding, clubs) billed only to the learners who take them. Set them before you bill the term.

  1. Open Fee structures

Choose Fees › Fee structures. Each class has its own card, with what it costs for every student.

  2. Choose the term

Choose the term under Term, such as next term. To start from this term’s fees, tap Copy from another term and choose it under Copy from: “Groups that already have fees for this one keep them.”

  3. Set each amount

Change the Amount beside each Fee item. The card’s total, for every student, counts only the items that are not optional.

  4. Tick the optional items

Tick Optional for an item billed only to the learners who take it, such as a transport route, lunch or a club. A learner’s optional items are chosen on their page.

  5. Tap Save on the class

Save appears on a card you changed. Kila says PP1 saved. Save each class you change.

To add a fee to a class, tap Add an item on its card and choose it. A fee the school has never charged needs New fee item first: “Tuition, boarding, transport, lunch, activity fee. Each class sets its own amount.” Give it a Name, and a Usual amount if you like.

Below the classes, Vote heads says which vote head each fee item belongs to, such as TUI Tuition. “Payments settle each invoice in this order: Tuition, Boarding, Meals, Transport, Activities, Other (school settings). Fee items without one count as Other.” Choose a fee item’s vote head from its box (1).

Good to know

The owner sets the order of the vote heads in School life › School settings, under Fees. The fee reports show the money received by vote head.

The card says how many are billed, such as 14 billed. You can still change the structure; Kila tells you:

Kila shows:

PP1 saved

14 students were billed already; their invoices stay as they are.

A learner billed later, such as a late admission, is billed at the new amounts.

Every fee item is on the card already. Create a new one with New fee item.

Next: when the term’s fees are set, bill the term.
