A day in Kila follows the shift. You opened it with the float for your first sale; you sell; at the close you count the drawer. Then the trading day and the daily summary show you how the day went.

  1. Sell through the day

Every sale goes the way the first one did. When a customer pays by M-Pesa, check their message and type the code they read out in M-Pesa code: “10 letters and numbers, for example TJ4K7Q2XYZ.” Amount received starts at the amount due (“As on the M-Pesa message.”). Tap Use code … with the code on it.

Take payment by M-Pesa: Till 5123456 and KES 220.00 to pay, the customer's code typed in M-Pesa code, and the Use code button (1).Take payment by M-Pesa: Till 5123456 and KES 220.00 to pay, the customer's code typed in M-Pesa code, and the Use code button (1).
  2. Close your shift and count the drawer

At the end of the day, tap your shift number at the top of the till. It shows the Cash expected now: the float plus the cash you took. Tap Close shift, then “Count every note and coin in the drawer.” Tick I counted KES … in the drawer myself. The count is mine and is kept with the shift. and tap Submit count of KES …. When it matches, Kila says Balanced. Every shilling accounted for. Tap Done.

Closing the shift: two KES 1,000 notes, two KES 200 notes and KES 20 in coins counted, KES 2,420.00 (2), the box I counted KES 2,420.00 in the drawer myself ticked (2), and Submit count of KES 2,420.00 (2).Closing the shift: two KES 1,000 notes, two KES 200 notes and KES 20 in coins counted, KES 2,420.00 (2), the box I counted KES 2,420.00 in the drawer myself ticked (2), and Submit count of KES 2,420.00 (2).
  3. Open Sales › Trading day

The whole day on one page, as it stands so far: At a glance (sales, items sold, gross profit and margin), How customers paid, the Money check (“Cash counted against what the tills expected, deposits, M-Pesa against Safaricom, card machines against the bank.”), each till and shift, what sold, Things to check, and Tax and eTIMS. On your first day Kila says “Not enough history yet”: it sets each figure against a typical day of the same weekday, and there is none yet.

The trading day: At a glance with gross sales, sales, average sale, items sold, gross profit and margin, then How customers paid (3), cash and M-Pesa, and the Money check, All in order, with each till's expected and counted cash. The trading day: At a glance with gross sales, sales, average sale, items sold, gross profit and margin, then How customers paid (3), cash and M-Pesa, and the Money check, All in order, with each till's expected and counted cash.
  4. Read your daily summary email

Kila sends the owners and administrators a Daily summary email: “Sales, payments, tills, best sellers, stock and approvals for the trading day, every day at 20:00 (East Africa Time).” It starts switched on.

Change it under Administration › Settings › Notifications:

  • When: At a set time, such as Morning, 07:00 or Night, 20:00, or After every branch closes. A morning summary covers the whole of the day before.
  • Send to: “Email addresses, separated by commas. Leave empty to send it to the owners and administrators.”
  • Send a test now sends the summary as it stands right now. Kila says Test summary sent and to whom. Tap Save changes to keep any change.

The email has the day’s Sales, Payments received, Best sellers, Tills and cash and what Needs attention, such as products running low and approvals waiting, with a link to your dashboard.

Good to know

These pages were made on a test copy of Kila that sends no email, so the summary itself is not shown here: what it contains comes from Kila’s code.

Not available yet

eTIMS runs in test mode for now: on the trading day, Tax and eTIMS counts receipts Confirmed in test mode (not KRA), and none are sent to KRA.

  • Submit count stays grey. Tick the box above it first: the count is yours, so Kila asks you to say so.
  • The count is short or over. Kila says by how much and offers a recount: see Close a shift.

Next: Switch on more features and change your plan.
