Step by step
Take M-Pesa
The customer pays your till number or paybill from their phone. Check their M-Pesa message and record its code; where your business has set up prompts, Kila can send the request to their phone instead.
Steps differ for schools and training centres.
Most customers pay your till number or paybill from their own phone. You check their M-Pesa message and record it on the sale: Kila checks the code has not been used before, and puts the payment on your shift.
Before you start
Link to this section: Before you start- Your shift is open, and the customer has paid: they show you the M-Pesa message on their phone.
Tap Charge, then M-Pesa
Kila opens the M-Pesa panel with the Amount received set to the amount due.
Check the customer's M-Pesa message
Kila says: “Check the customer’s M-Pesa message: the amount, your business name and the time. Enter the code if you have it; without it, Kila gives the payment a reference (MP-…) for the receipt.”
Type the code
Type it in M-Pesa code: “10 letters and numbers, for example TJ4K7Q2XYZ.” If the message shows a different amount, change Amount received to match it (“As on the M-Pesa message”).
Tap Use code
The button shows the code you typed, such as Use code TJ4K7Q2XYZ.
Check the sale is complete
Kila shows Sale S-… complete and Paid in full by M-Pesa., with the code under it and on the receipt.
Without the code
Link to this section: Without the codeIf the customer cannot find the code, leave M-Pesa code empty. Tick I have seen the M-Pesa message for KES … (“Recorded against your name. The owner ticks it off against the M-Pesa statement.”) and tap Record M-Pesa as received. Kila gives the payment a reference such as MP-261030-0001 for the receipt. The button stays grey until you tick the box.
Good to know
The owner sets how M-Pesa paid to your till number or paybill is confirmed, under Administration › Settings, on Point of sale. With Confirmed by the cashier, as here, the payment counts straight away, and each one you confirm is kept with your name for the owner to tick off against the M-Pesa statement. With Matched to the M-Pesa statement, it waits as not confirmed yet until the statement matches it. The owner can also Always require the M-Pesa code, or Require the code above an amount.
When Kila sends a prompt
Link to this section: When Kila sends a promptThe owner chooses how the business takes M-Pesa under Administration › Integrations and API: Manual codes, as above, or prompts: Prompts through Kila or Your own Daraja app. With prompts set up, the M-Pesa panel starts with the Customer phone and Send M-Pesa prompt:
- Type or check the customer‘s phone number and tap Send M-Pesa prompt.
- Kila shows Prompt sent to the number: “Ask the customer to enter their M-Pesa PIN.”
- When M-Pesa answers, Kila shows M-Pesa confirmed and completes the sale by itself.
While Kila waits, Enter M-Pesa code instead switches to the code. If the customer cancels on their phone, Kila says The customer cancelled on their phone: “Nothing was taken from the customer. Send the prompt again or take another method.”
Not available yet
Until Kila’s M-Pesa connection is live, Kila sends no prompt. Integrations and API says Prompts not connected on the M-Pesa card, the till’s M-Pesa panel opens on the M-Pesa code as above, and other screens that send prompts say: “M-Pesa prompts are not connected to Safaricom yet: Kila’s M-Pesa simulator runs only on the demo site. Ask the customer to pay to the till or paybill, then enter the M-Pesa code.” Manual codes, the customer paying your till or paybill and you recording the code as above, work either way.
For your business
Link to this section: For your businessFor schools and training centres
At a school a parent paying fees to the school’s paybill types the learner’s admission number as the account, and Kila puts the payment on that learner. One that matched no learner waits under Paybill to place in Today › Fees office: see Place a paybill payment.
Steps differ for schools and training centres. Nothing here differs for your business, .
The code has already been used
Link to this section: The code has already been usedKila does not record the same M-Pesa code twice. The customer may be showing an older message: ask for the message of this payment. Tap the x next to the M-Pesa line to remove it, then take the payment again.
The customer sent more than the bill
Link to this section: The customer sent more than the billType what came in, as on the message, in Amount received. Kila says KES 200.00 more than is due: “The full amount is recorded as received. Choose what happens to the difference.”
- Give change in cash pays the difference out of your drawer (“KES 200.00 from the drawer”). Your shift expects that much less cash, and the close lists it as Change given for M-Pesa/card overpayments.
- Keep as customer credit, when a customer is on the sale, holds it on their account: ”… can spend it later”.
M-Pesa has not answered a prompt
Link to this section: M-Pesa has not answered a promptAfter a minute Kila says Waiting for M-Pesa to confirm. Keep the goods until it does., with Keep waiting, Enter M-Pesa code, Check with M-Pesa and Use another method. Do not ask the customer to pay again until you know. See Check an M-Pesa payment that is not confirmed yet.
- Check an M-Pesa payment that is not confirmed yet: what Kila shows, and who settles it.
- Correct a payment method: M-Pesa recorded that was really cash.
- Take cash
- Cashier
- M-Pesa code … has already been used: when Kila refuses a code.
- KES … more than is due: the customer sent more than the bill.
- Reconcile M-Pesa and bank statements: matching M-Pesa payments with the statement.
- Choose how you take money: setting up M-Pesa: your till or paybill, and prompts.
- Integrations and API: the M-Pesa connection and what it shows.
- Take more than one payment on a sale: part by M-Pesa and the rest another way.
Next: M-Pesa is not cash. Your shift lists it under Taken by method, apart from the cash you count when you close your shift.
