Step by step
Reconcile M-Pesa and bank statements
Match each line of the M-Pesa and bank statements to what Kila recorded. Allocate money that came in to the customer who paid, set aside your own transfers and resolve what is left.
Reconciliation puts the statements next to what Kila recorded: “Match what the M-Pesa and bank statements say against what Kila recorded. Money is confirmed by evidence, never by assumption.” Most lines match on their own. You deal with the rest.
Before you start
Link to this section: Before you startThe statement is in Kila: see Upload a statement.
Open Reconciliation
Go to Money › Reconciliation. The Overview shows how much matched: M-Pesa lines matched, Bank lines matched, Open exceptions and Not confirmed yet, and the payments checked against statements.
Tap Run matching
Kila tries again to match every line not yet matched: “Matching tries the receipt code first, then the same amount from the same phone within the time window”. It says Matching finished, with how many it matched.
Open the statement's tab
Tap Bank statement, or M-Pesa statement.
Steps 3 to 5. Tap Unmatched
Only the lines Kila could not match are left. A payment recorded with the bank’s reference has already matched.
Open a line
Tap it. Under Payments that could be this, Kila lists recorded payments close in time and amount, each with Match.
Or allocate it to the customer who paid
When no recorded payment is the line, use Or allocate it to a customer: “Records a payment from the customer. It clears what they owe first; anything left is held as a deposit.” Search for the customer and choose them.
Tap Allocate
The button shows the amount, such as Allocate KES 5,000.00. Kila says Allocated to Rift Fresh Distributors: PAY-… recorded.
The line is your own money moving
Link to this section: The line is your own money movingA sweep from your M-Pesa till to the bank, or a transfer between your own accounts, is not money from a customer. Open the line and tap Set aside: “Use this for transfers between your own accounts or lines that are not sales money.” Give the Reason and tap Set aside. Kila says Line set aside: “The reason is kept with the line.”
You do not know yet what a line is
Link to this section: You do not know yet what a line isOpen it and tap Flag: “It goes to exceptions as under investigation.” Say What needs checking? and tap Flag. Kila says Flagged for investigation: “It is listed under exceptions.”
On the Exceptions tab, exceptions are Unresolved, Open, Investigating or Resolved. Once you know, tap Resolve and write What you found and what was done: “Kept with the exception so the next person can follow it.” Tap Resolve: Kila says Exception resolved.
