Send a fee statement

Open the guardian who pays, check one statement for all their children, and send it by SMS or email, or print it.

A statement goes to the guardian who pays, not to the learner. One statement covers all their children at the school, each with their own lines, and ends with what the family owes in total and how to pay.

SMS is in test mode until an SMS provider is connected: messages are kept in the message log and not delivered to phones. Print the statement, or send it by email, when the guardian needs it today.

  1. Open Guardians

Choose Learners › Guardians. Kila lists every guardian with their children and what they owe together.

  2. Find the guardian

Search by name, phone or email.

Guardians at Bright Minds Academy: Catherine Mugo typed in the search (2) and her row, with her phone and email, her children Mark and Mercy, and what they owe (3).Guardians at Bright Minds Academy: Catherine Mugo typed in the search (2) and her row, with her phone and email, her children Mark and Mercy, and what they owe (3).
  3. Open the guardian

Tap the row. The statement shows every child the guardian pays for, from Balance brought forward to each fee invoice and payment.

  4. Check what they owe

Owes in total is the family’s balance, with Billed and Paid for the period beside it. Under Paid, Kila reminds you how to pay, such as Paybill 4071833, account: admission number.

  5. Send or print it

Tap Send by SMS or Email. Kila says Statement sent and the number or address it went to. Print gives a Fee statement for all the children, with Total due for all children and “Pay by M-Pesa to paybill 4071833. Use the admission number as the account number.”

On a learner’s own page, Print statement prints just that learner’s statement.

The school sends statements only by the ways it switched on, under Learners › Classes and terms, on the Settings tab: Statements by SMS and Statements by email. A button stays grey when the guardian has no phone or no email address. The admissions secretary or the bursar adds it on the learner’s page, under Guardians.

A statement holds the children this guardian pays for. The admissions secretary or the bursar opens the missing child’s page and, under Guardians, taps Add: the same phone number, and Yes, send statements for Pays the fees. “Someone already on Kila with this phone number is linked, not added twice.”

Next: for families who still owe after the statement, record a promise or send a reminder.
