Your role

Parts clerk

Your day on the Parts desk, issuing what the bench asks for, ordering parts for jobs, and recording what became of the old parts.

As a parts clerk you keep the store: Kila says the role “Keeps parts: receives, issues to jobs, orders parts for jobs, counts and sells over the parts counter. Adjustments go to approval.” Every part on a job passes through your desk.

Kila opens the Parts desk: “What the bench asked for, parts to issue on approved jobs, what is on order, and old parts to offer back.” It has four lists: Asked for by the bench, To issue on approved jobs, On order for jobs and Old parts to offer back, and Print the pick list prints what to fetch.

  1. Answer the bench. Each part asked for shows the job, the technician and how many are in stock. Tap Issue, Order for the job when it is not on the shelf, or Not available.
  2. Issue what the customer approved. To issue on approved jobs lists the parts on agreed estimates not yet taken from the store: Reserve them, then Issue them.
  3. Watch what is on order. On order for jobs: “Reserved to the job when received; the technician is told.”
  4. Settle old parts. “The customer is offered every part taken off; record what became of it”: Returned, Kept for the assessor or Disposed.
  • Issue, reserve and order parts for jobs, and record old parts.
  • Receive deliveries, count stock and sell over the parts counter, as a storekeeper does.

A stock adjustment above your limit goes to approval: a manager approves it in Approvals.

A technician asked for a part we do not stock. Tap Order for the job. When it arrives it is reserved to the job, and the job comes off Waiting for parts.

A part was issued by mistake. It goes back from the job card with Back in stock, with the reason. See Add parts and labour to a job.

Why offer the old parts back? They are the customer’s: Kila records what became of each one.
