Your role

Storekeeper

You receive deliveries, move and count the stock, and record what is damaged or lost. Every adjustment you record waits for someone to approve it.

Kila describes the role as “Receives, moves and counts stock.” You look after the goods themselves: what comes in, what moves and what is on the shelf.

Kila opens Home: “Here is the work waiting at Soko Fresh Mini-Mart today.” Open stock (1) takes you to Stock on hand. Low or out of stock (2) lists what is running low. Deliveries come in under Purchasing (3).

  1. Receive the deliveries. Purchasing › Receiving keeps the “Goods received notes: what arrived, what was rejected and why, with batches, serials and landed costs.” Orders to receive counts the orders still to come in. Tap Receive goods when a delivery arrives.
  2. Move stock between branches: Transfer stock between branches.
  3. Count when you are asked to: Count stock.
  4. Record what is damaged, expired or lost, with the reason: Adjust stock. Each one waits for approval (1), and Withdraw (2) takes it back while it waits.

The notice Waiting for approval (1) says the value is above Moses Kiprotich's limit, stock has not changed yet, and he cannot decide it himself. Approval limitUp to
Stock adjustmentsKES 0.00

Your limit for adjustments is KES 0, so every adjustment you record waits for approval, however small:

Kila shows:

ADJ-000013 sent for approval

ADJ-000013 is waiting for approval. Stock changes once someone with a higher limit approves it.

Needs a manager

An inventory manager, the branch manager or the owner approves it. On the adjustment, Kila tells you: “You cannot decide this one: either you raised it or it is above your own limit.” Ordering from suppliers is the buyer’s: you receive what they order.

Why has my adjustment not changed the stock? It is waiting for approval. The stock changes the moment someone with a higher limit approves it.

I recorded the wrong quantity. Can I take it back? Yes, while it waits: open it and tap Withdraw. Kila says Adjustment withdrawn, and nothing has moved. Then record it again.

Where do I see what is still to come in? On Purchasing › Receiving: Orders to receive counts them.
