Approve and pay a payment run

Check a payment run someone else prepared, approve it within your payment limit, then pay it. For bank payments Kila makes the bank file, and you record each payment the bank made.

A payment run waits for someone other than the person who prepared it. You check each payee and amount, approve it, then pay it: for bank payments, Kila makes the file you upload to your bank, and you record each payment once the bank has made it.

  1. Open the run

Go to Money › Payments out and tap Payment runs. A run waiting for you shows Waiting for approval. Tap it. Your limit is on the page, with “You approve runs up to this”. The run is in Approvals too.

  2. Check each payment

Kila asks you to “Check each payee and amount before approving.” Each payment shows the payee, how they are paid, such as Bank transfer to their bank and account, and what it pays for.

  3. Tap Approve

The button shows the total, such as Approve KES 18,560. Kila says Run approved: “It can be paid now.”

  4. Choose the bank file's layout

Under Bank payments: “Make the file, upload it to your bank, then record each payment the bank made.” Choose the Layout your bank takes, such as Kila standard.

  5. Tap Make bank file

Kila saves the file, such as PR-000010-kila-2026-10-30.csv: “Upload it to your bank, then record each payment the bank made.” The payment shows In a bank file. Upload the file in your bank’s online banking.

  6. Tap Record as paid once the bank has paid

Kila asks you to “Record the payment once the money has gone.” Type The bank’s reference, and Paid on if it was not today.

  7. Tap Record payment

M-Pesa payouts are in test mode. Payments out says “M-Pesa test mode: Kila simulated the answer. No money moved. Bank and cash payments are real.” A run’s M-Pesa payments move no money until the business connects its own Daraja app.

Tap Reject instead of Approve. Kila asks “Reject PR-…?” with Why. Tap Reject: Kila says Run rejected: “What it was for is owed again.”

You prepared the run yourself, or it is above your payment limit: “Someone whose payment limit covers it approves it.” Open in Approvals takes you to the request.

Needs a manager

Each approver’s payment limit is set by the owner: see Set approval limits for a role.

Next: the payment shows on the bank statement: Reconcile M-Pesa and bank statements.
