Step by step

Bill a visit

Take payment from a patient who pays themselves, or bill their insurer or scheme with the patient's share taken at the desk.

Who can do it
Cashier and Receptionist

Clinic, then Billing desk, or search billing desk in Kila
Time

The visit gathers everything given (the consultation, the tests, the medicines) into one bill. At the Billing desk, the patient pays it, or their insurer or scheme does and the patient pays their share. The bill is also what takes the medicines off the stock.

Open your shift at the cashier if you take cash. The banner at the top says Your shift SH-000047 opened …: what you take goes on it. With none open it says No shift open: bills are taken without one. Open your shift at the cashier to count your cash at the end.

  1. Tap Bill on the patient's line

Waiting to pay lists each patient with who pays (Patient pays, or the insurer and member number), the stage, how long they have waited and the amount. Call shows their number on the waiting-room screen.

The billing desk at Afya Bora Medical Centre, Kenyatta Avenue clinic, with Brian Ochieng's shift open: patients waiting to pay, two paying themselves and one covered by AAR Insurance Kenya, each KES 1,500.00, and today's receipts. 2. Choose how the patient pays

For a patient who pays themselves, Kila shows To pay and the ways to pay: Cash, M-Pesa, Card or Bank. For cash, type the Cash received: Kila works out the change, such as Change KES 500.00.

    Steps 2 and 3.
The bill for KES 1,500.00 paid in cash: Cash received KES 2,000 (2) with Change KES 500.00, and Complete bill (3).The bill for KES 1,500.00 paid in cash: Cash received KES 2,000 (2) with Change KES 500.00, and Complete bill (3).
  3. Tap Complete bill

Kila gives the bill its receipt number:

    Kila shows:

    Paid

    V-000169 billed as S-000182.

The bill shows under Paid today with its receipt.

  4. For an insured patient, check who pays

Tap Bill on their line. Paid by starts with the patient’s cover, with their member number and how much of the year’s cover is left. Choose The customer if the patient pays it all.

    Steps 4 to 7.
The bill for a patient covered by AAR Insurance Kenya: Paid by AAR with the member number (4); The payer pays KES 1,350.00, the customer pays KES 150.00 now, Co-pay of 10% (5); Patient pays now (their share) 150 in cash (6); On account to the payer KES 1,350.00; and Complete bill (7).The bill for a patient covered by AAR Insurance Kenya: Paid by AAR with the member number (4); The payer pays KES 1,350.00, the customer pays KES 150.00 now, Co-pay of 10% (5); Patient pays now (their share) 150 in cash (6); On account to the payer KES 1,350.00; and Complete bill (7).
  5. Read the split

Kila works out the split from the payer’s rules and says why, such as The payer pays KES 1,350.00; the customer pays KES 150.00 now and Co-pay of 10%: KES 150.

  6. Take the patient's share

Patient pays now (their share) is filled in. Choose Cash or M-Pesa (with the M-Pesa code). The rest shows as On account to the payer.

  7. Tap Complete bill

Kila says V-000170 billed as S-000183. The insurer’s share goes on their account and waits for the next claim (see Insurers, SHA and claims).

The patient has not agreed to share visit details with the insurer

Link to this section: The patient has not agreed to share visit details with the insurer
Kila shows:

That did not go through

John Okoth has not consented to: Sharing visit details with the insurer or scheme. Record their consent on the patient file before billing AAR Insurance Kenya, or bill the patient.

Ask the patient. If they agree, the front desk ticks Sharing visit details with the insurer or scheme on their file (Clinic › Patients), then bill again. If not, choose The customer under Paid by: they pay it all.

The bill to AAR Insurance Kenya refused: the patient has not consented to sharing visit details with the insurer or scheme (1).The bill to AAR Insurance Kenya refused: the patient has not consented to sharing visit details with the insurer or scheme (1).

Good to know

At a branch where cash patients pay before each step, the desk says Cash patients pay before each step; insured patients at the end. Tap Take payment on the line for each step. Pay at each step is on: each payment is its own receipt. When everything is paid, Bill closes the visit with nothing more to pay.

Next: the claims office sends the insurer’s share as a claim.
