Time
3 minutes a product

Add products one by one when you have a few, or to see how a product is made up before you import the rest from a spreadsheet. Every price you type includes VAT, as it is on the shelf.

Products sit in categories. Add yours under Products › Categories and pricing: on the Categories tab tap New category, type its Name and tap Save. Kila says Category saved.

  1. Open New product

Open Products › Catalog and tap New product, or tap Add a product on your set-up checklist. Type starts as Stocked: “Physical goods counted on the shelf. Every sale, receipt and transfer moves stock.”

  2. Type the name and SKU

The Name is what the till and the receipt show. The SKU is “Your own product code. Unique in the catalog.”

New product, Basics: the name Bar soap 800g and the SKU SOAP-800 (2), the category Household (3) and the barcode 2000000000015 added (4).New product, Basics: the name Bar soap 800g and the SKU SOAP-800 (2), the category Household (3) and the barcode 2000000000015 added (4).
  3. Choose its category

Choose one of your categories in Category.

  4. Scan or type its barcode

In Barcodes: “Scan or type each barcode, then press Enter. A product can carry several.” The till then finds it when you scan it.

  5. Type the selling price, with VAT

Under Price and tax: “Prices include VAT.” Kila works out the Price before VAT and the Margin as you type: KES 250 with 16% VAT is KES 215.52 before VAT, an 11.8% margin on a cost of KES 190.

Price and tax: selling price KES 250 (5), tax category B: VAT 16% (6), starting cost KES 190 (7) and the KRA item code 47130000 Cleaning and janitorial supplies (8), with price before VAT KES 215.52 and margin 11.8%.Price and tax: selling price KES 250 (5), tax category B: VAT 16% (6), starting cost KES 190 (7) and the KRA item code 47130000 Cleaning and janitorial supplies (8), with price before VAT KES 215.52 and margin 11.8%.
  6. Check the tax category

New products start on B: VAT 16%. The others are A: Exempt, C: Zero rated, D: Non-VAT and E: VAT 8%: “Tax categories follow the KRA eTIMS codes.” Choose the one that applies to the product.

  7. Type the starting cost

What you pay for it. Kila uses the Starting cost “until the first receipt sets a real cost”: after that, the cost is “the weighted average from receipts”.

  8. Choose the KRA item code

“eTIMS reports the product with this code.” You can give a whole category a code instead, under Products › KRA item codes: see eTIMS.

  9. Set when to reorder

Under Stock control, the Reorder point is the stock level at which Kila warns you (“Alert at or below”), and the Reorder quantity is how much to order then.

Stock control with Track stock on: the reorder point (9), and Add product at the bottom (10).Stock control with Track stock on: the reorder point (9), and Add product at the bottom (10).
  10. Tap Add product

Kila says Product added: “Bar soap 800g (SOAP-800) is in the catalog.” It opens the product’s page, with its Selling price (VAT inclusive), tax and stock.

On your checklist, Products with prices and VAT ticks itself off with the first product, and Reorder levels with the first reorder point.

Kila shows:

The product was not saved

SKU SOAP-800 is already used by Bar soap 800g. Choose another SKU.

Each product needs its own SKU. Give this one another code, such as SOAP-800-L.

Tip

Selling the same product in a bigger pack? Under Packaging, Add a pack size with its own barcode: “Scanning a pack barcode counts all the units in it.”

Next: Import products from a spreadsheet.
