Step by step

Post a journal

For accountants. Correct the books with a manual journal, debits equal to credits, in an open period. Nothing is edited afterwards; a wrong journal is reversed.

Who can do it
Accountant, Owner and General manager
Find it
Money, then Books, or search journals in Kila
Time
5 minutes

Kila posts its own journals for every sale, payment, expense and stock movement. A manual journal is for what those do not cover, such as moving an amount booked to the wrong account. Journals shows “Every posting in the ledger, from sales, payments, stock and manual entries. Nothing is edited; corrections are reversals.”

Find the accounts in Books › Chart of accounts: “Every account the ledger posts to, grouped by type. Locked accounts are used by sales, payments and stock.” New account is for “something the standard chart does not cover. System accounts stay as they are.”

  1. Open Journals and tap New journal

Go to Money › Books and tap Journals, then New journal: “Debits must equal credits. The date must fall in an open period.”

  2. Check the date and write the memo

The Date is today unless you change it. In Memo, “Say why. It stays with the journal in the audit trail.”

    Steps 2 to 7.
New journal: the memo (2), 6060 Repairs and maintenance (3) debited KES 2,500 (4), 6900 Other expenses credited KES 2,500 (5), Balanced at KES 2,500.00 (6) and Post journal (7).New journal: the memo (2), 6060 Repairs and maintenance (3) debited KES 2,500 (4), 6900 Other expenses credited KES 2,500 (5), Balanced at KES 2,500.00 (6) and Post journal (7).
  3. Choose the account for each line

Choose the Account, and the Branch when it matters for reports by branch. Add line adds more lines.

  4. Enter the debits

    Type each debit in Debit.

  5. Enter the credits

Type each credit in Credit. Until they match, Kila shows the gap, such as “Debits KES 2,500.00, credits KES 1,500.00. Difference KES 1,000.00.”

  6. Check that it balances

When debits equal credits, Kila says Balanced at KES 2,500.00.

  7. Tap Post journal

Kila says Journal JV-… posted: “KES 2,500.00 on each side.” The journal shows “Balanced. Debits equal credits at KES 2,500.00.”

The posted journal with its two lines and its memo, Balanced, and Reverse marked 8.The posted journal with its two lines and its memo, Balanced, and Reverse marked 8.

Nothing in the ledger is edited. Open the journal and tap Reverse: “A new journal posts the mirror image today, so the books net to zero.” Say Why is this being reversed? and tap Reverse journal. Kila says Reversed by JV-…: “The original stays in the ledger, marked reversed.” Then post the right journal.

The debits and credits differ: Kila shows the difference under the lines. Change the amounts until it says Balanced.

Needs a manager

Posting journals needs the right to post journals, which the owner, the general manager and the accountant have. A closed month takes no journals: see Close a month.

Next: at month end, close the month.
