Give a bursary

On a learner's page, choose the optional items they take and give a bursary or discount, as a percentage or an amount per invoice.

Two things on a learner’s page decide their fee invoice beyond the class’s fees: the optional items they take, such as a bus route or a club, and a bursary or discount. Both count from the next fee invoice Kila raises for them.

  1. Open the learner

In Learners › Students, search by name, admission number or a guardian, and tap the learner.

  2. Tap Edit

The dialog Edit and the learner’s name opens, with Fees at the bottom.

  3. Tick the optional items they take

Under Optional items this student takes, tick each one, such as Swimming club. They are “Billed only when the fee structure lists them as optional.”

Edit Emmanuel Juma at Bright Minds Academy: Swimming club ticked under Optional items this student takes (3), Bursary or discount set to Percentage with 10 and the reason County bursary (4), and Save (5).Edit Emmanuel Juma at Bright Minds Academy: Swimming club ticked under Optional items this student takes (3), Bursary or discount set to Percentage with 10 and the reason County bursary (4), and Save (5).
  4. Give the bursary or discount

Under Bursary or discount, choose Percentage or Amount per invoice, type it, and give the Reason, such as a county bursary or a staff child.

  5. Tap Save

Kila says Saved. The learner’s Fees card shows the optional items and the bursary, such as 10% (County bursary), and Pays by M-Pesa with their admission number.

Good to know

A fee invoice already raised stays as it is: the bursary and the new items count from the next one, such as next term’s. Whether a bursary also reduces optional items such as transport and boarding is the school’s choice: Bursaries also reduce optional items (transport, boarding), under Learners › Classes and terms, on the Settings tab.

A school can give a discount to every second or later child without a bursary for each: Sibling discount in School life › School settings, From the child number and the discount. Bright Minds Academy gives 5% from the second child. A sponsor who pays part of a learner’s fees is different: see Fee reports and sponsors.

Editing a learner needs the right to manage learners’ records, which the bursar, the admissions secretary and the head teacher have. A fees clerk and teachers see the page without it.

The change waits for the next invoice: this term’s stays as it is.

Next: bill the term; the learner’s invoice shows the bursary under Bursary.
