Step by step
Set up a promotion
A multi-buy, a bundle, a happy hour or money off. Kila applies it at checkout by itself when the customer, branch, day and time fit, and every saving shows on the receipt.
Promotions are “Discounts that apply by themselves at checkout when the customer, branch, channel, day and time fit. Every saving shows on the receipt.” Nobody at the till has to remember them.
Open Sales › Promotions and tap New promotion
“Checkout applies the best promotion to each line by itself. Lines with a discount given by hand are left alone.”
Steps 2 to 7 on one screen. Name it
Staff see the name, and the Description if you add one: “Shown to staff at the till.”
Choose the kind of promotion
In Kind of promotion, such as Multi-buy price (3 for KES 500). The kinds are listed below.
Fill in its numbers
For a multi-buy, How many and For. Kila explains it: “Each full group of 3 on a line costs KES 600; the rest sell at the normal price.”
Choose what it covers
Under What it covers: Everything, Categories or Products. Tick the categories or search for the products.
Read Who gets it
At the top Kila puts the promotion in plain words, such as “Everyone gets 3 for KES 600 on Potato crisps 150g at every branch.”, with how many customers and products it covers.
Tap Create promotion
Kila says, for example, Crisps 3 for 600 created: “It applies at checkout from the next sale.” It shows as Running under Running and scheduled.
Leave the rest as it is for everyone, everywhere, every day, or narrow it down:
- Who qualifies: Loyalty tiers and Customer categories (“None ticked: every tier.”), and Named customers only: “Walk-in sales without a customer do not get it.”
- Where: Branches and Channels (the till, the online store, invoices). “None ticked: every branch.”
- When: Starts and Ends, Days of the week, and From and Until for a time of day.
- Limits: Stop after this many sales, and Priority: “When two promotions fit a line, the higher priority wins; then the bigger saving.”

Kila adds the items up: “Separately KES 1,330; the bundle saves KES 30.” for a Kenya Gold Cane Spirit 750ml with two Cola 500ml at KES 1,300. “Bundles are matched first: each full set in the basket sells at the bundle price.”

How checkout picks
Link to this section: How checkout picks- “Bundles are matched first: each full set in the basket sells at the bundle price.”
- “Each line gets at most one promotion: the highest priority, then the biggest saving.”
- “Lines with a discount or price change given by hand keep it; promotions skip them.”
- “Basket promotions spread their saving across the lines they cover.”
- “Quotations and orders keep the prices agreed when they were made.”
The promotion goes below the minimum margin
Link to this section: The promotion goes below the minimum marginIf the owner has set minimum margins, Kila checks every price the promotion would give, at each branch, when you create it.
Each product and branch below it is listed with the price that keeps the minimum. Type the Reason and tap Send to an owner. Kila says “It goes below the minimum margin, so it applies once an owner approves it in Approvals.” Until then it shows Waiting for an owner. An owner is asked to give the reason instead, and taps Save with this reason.
You want to stop it for now, or take it away
Link to this section: You want to stop it for now, or take it awayTap the pause button on its row: Kila says, for example, Cider Friday paused: “Its history stays.” A promotion never used yet can be deleted with the bin: “It has not been used yet, so nothing else changes.”
Needs a manager
Promotions need the right to manage prices, which owners, administrators and merchandisers have. Approving one below the minimum margin is for owners: see Approve or reject a request.
- See how a promotion did: its lift and margin.
- Set minimum margins: the margin guard.
- Print shelf labels: labels can show a running offer.
Next: after a few days, see how it did.
