Your role
Hub clerk
You scan parcels in and out of the depot at every handover, and send the parcels for other depots on sealed manifests, or receive theirs. No money.
A hub clerk scans parcels in and out at the depot, and builds and receives the manifests that carry them between depots. At Swift Haul Logistics, Mercy Akinyi scans the Mombasa hub and seals the nightly manifest to Nairobi, where Kevin Ochieng receives it.

Scan parcels
Link to this section: Scan parcelsScan parcels says: “Scan each parcel at the handover: in at the depot, picked up, arrived, out for delivery, held or going back.”
- Choose the handover: At the depot, Picked up from the sender, At the delivering depot, Out for delivery, Held for collection or Going back to the sender.
- Scan each parcel, or type its tracking number and press Enter or Add. The list counts them: 1 scanned.
- Tap Mark … as, such as Mark 1 as at the depot. Kila says “1 scanned as at the depot.” and lists each parcel it moved, and any it refused with the reason.
Send a manifest
Link to this section: Send a manifest“Parcels going to another depot travel on a manifest under a seal. The far depot scans them in; anything short, over or damaged goes on the exceptions list.”
- Open a manifest. On Manifests, tap New manifest. Choose where it goes To, the Vehicle and the Driver, and type the Seal number: it is “Needed before it leaves.”
- Add the parcels. Scan them under Parcels, now or later, then tap Open manifest: “Manifest MNF-000061 opened with 1 parcel.”
- Seal and dispatch. Open the manifest from the list and tap Seal and dispatch when the truck leaves: “Manifest MNF-000061 is on its way with 1 parcels.”

Needs a manager
No money passes through your hands: bookings, payments and cash on delivery are for the counter, the riders and the COD cashier. A manager cancels a manifest that should not go.
Common questions
Link to this section: Common questionsA parcel was refused when I scanned it. The result gives the reason next to its number. A mistyped or misread number says “The check digit is wrong: scan it again or check the number.” For any other reason, open the parcel from the Tracking number box and check where it is.
The truck left with fewer parcels than the manifest. At the far depot, the parcels not scanned off are reported short when the manifest is received, and go on the exceptions list for the office.
Who receives a manifest? The hub clerk at the depot it goes To. They open it from Manifests when the truck arrives.
- Book a parcel: where the parcels come from.
- Dispatcher: who sends them out from the depot.
