Step by step
Send a route's run out
Plan the truck and driver for a route's run, check the load against the load sheet so Kila issues the gate pass, and send the orders out to the driver's phone.
A run is one route’s orders for one day, in the order the truck reaches the shops. On Trips and settlement each run is a truck’s trip: you plan the truck and driver, the storekeeper checks what is loaded and Kila issues the gate pass, then you send it out. The dispatcher plans and sends; the storekeeper checks the load.
Before you start
Link to this section: Before you start- The orders are picked and packed: they show as Ready. See Pick and pack an order.
- Each route has its customers in stop order, its delivery days, its driver and its truck under Routes and runs › Routes: at Mombasa Road, Kajiado and Isinya runs on Wednesdays and Saturdays with Tom Wekesa on the Isuzu NQR, from Kajiado Town Supermarket to Kajiado Family Chemist.
Choose the day
Open Trips and settlement; it is where a dispatcher starts. Choose the day in Day, or tap Today or Tomorrow. Each route with orders that day has a card: its truck and driver, the load in kilograms and in cartons and crates against what the truck carries, the orders and how many are Ready to load.
Tap Plan the trip
On the route’s card, which says Not planned, tap Plan the trip.
Check the vehicle and the driver
Kila fills in the route’s truck and driver. Change them if another truck or driver goes today; add the Turn boy if one goes with the driver. The load shows again against the truck you choose.
Tap Save the plan
Kila says Kajiado and Isinya planned, and the card shows the trip number, planned.
The storekeeper checks the load
On Load and count in, the storekeeper taps Check the load on the trip: “Count what goes on the truck. A blank line is loaded as planned.” They type a quantity only where what went on the truck differs from Planned.
Tap Loaded: issue the gate pass
Kila issues the gate pass and says Gate pass GP-…: “Loaded as the load sheet.” The trip is loaded.
Tap Send 2 out
Back on Dispatch, the button counts the orders ready to go. Kila says Kajiado and Isinya sent out: “2 orders on TRP-…, gate pass GP-….” The trip is on the road, the orders are Out for delivery, and the stops are on the driver’s phone, in My run.
Good to know
Trip sheet and gate pass opens the sheet to print: the gate pass number, the stops in order with what each takes and whether it is on account, the load, and lines for the storekeeper, the driver and security at the gate to sign.
The truck is in the garage
Link to this section: The truck is in the garageThe list marks it (in maintenance). Choose another truck. Trucks, vans and weights keeps each vehicle’s capacity, its usual driver, when its papers run out, and whether it is working or in the garage.
An order on the run is not ready
Link to this section: An order on the run is not readyOnly orders that are Ready go out; the others stay at the depot. Send the rest to picking from Routes and runs (Pick the run together) or the order desk, and send them out once they are packed. Orders Held for credit wait for approval: see Approve an order over the credit limit.
- Deliver an order with proof: the driver’s side.
- Settle a driver’s trip: when the truck comes back.
