How it works
How Kila picks a price
A product's base price, the price lists and quantity breaks that can replace it, the promotions that apply by themselves, and the minimum margin that guards them all.
Every product has one base price, VAT included. Kila can charge something else for some sales: a price list for a branch or a customer, a lower price for a bigger quantity, a promotion, or a discount given by hand. It works out the price on every line by itself, the same way each time.
- Base price. The product’s own price, the same at every branch.
- Price list. “The till picks a customer’s own list first, then the branch list, then the base price.” See Set up a price list.
- Quantity break. “Quantity breaks apply from the stated quantity upwards”, such as a lower price from 12 bottles.
- Promotion. “Checkout applies the best promotion to each line by itself.” Bundles are matched first, and “Each line gets at most one promotion: the highest priority, then the biggest saving.” See Set up a promotion.
- Discount by hand. A cashier can give a discount within their limit; above it, someone with a higher limit approves it. “Lines with a discount or price change given by hand keep it; promotions skip them.” See Give a discount.
Changing prices

|---|---|
| One product’s price, barcode, packs or tax | Change a product |
| A whole category or brand by a percentage | Change prices in bulk |
| Prices from a date and time, at every branch or one | Schedule a price change |
| Prices that earn less than their minimum | Fix prices below the minimum |
Kila keeps a numbered record of each price change, with a PDF and its shelf labels: see Print shelf labels.
The minimum margin
Link to this section: The minimum marginThe owner can set the least each price should earn: Set minimum margins. Kila measures it “on the price before VAT”, against each branch’s average cost. In Kila’s words: “Below the minimum, a price can still be set with a reason (owners are told), and a cashier’s discount or price change at the till needs a manager.” A promotion that would go below it needs an owner’s approval first.
Good to know
“Quotations and orders keep the prices agreed when they were made.” A later price change does not change them.
- Suggest a price and Decide a price suggestion: when branch staff know what the market will pay.
- See how a promotion did: lift and margin.
- Fill in missing costs: margins need a cost.
