Step by step
Reorder stock
Reorder lists what each branch should buy and why, works out how much, and turns the products you choose into draft purchase orders.
Steps differ for agrovets.
Kila works out what each branch should buy from its reorder levels, recent sales, supplier lead times and what is already coming. It never orders by itself: you choose, and Kila makes draft purchase orders for you to check and send.
Open Reorder
Open Stock › Inventory › Reorder: “What to buy, worked out from reorder points, minimum and maximum levels, recent sales, safety stock, supplier lead times, open orders and stock already on the road. You decide what to order.” The cards count the Products to reorder, those Already out, the Suggested spend (“Before VAT, at supplier prices”) and the Suppliers. The products are grouped by supplier.
Choose a branch or a supplier
Choose a branch to see only its suggestions, or a supplier to see only what to buy from them.
Read why Kila suggests it
Under each product Kila says why, such as “17 available, reorder point 25”. Available shows how many days it lasts, or Out. Coming is what is in transit, on transfers and on open orders. Sells a day comes with the supplier’s lead time, and Reorder at with the maximum. Tap Show the working for every figure, from Available now to Stock position:
Order when the stock position (available, in transit, expected transfers and open orders) falls to the reorder point or to lead-time demand plus safety stock. The suggestion never goes past the maximum stock level or the free space in bins that suit the product.
Choose what to order
Tick the products to order, or tick a supplier’s name to choose all of theirs. Order starts at Kila’s suggestion: change it if you want more or less. The bar at the bottom adds them up, such as 3 products chosen, with their value before VAT.
Tap Create draft purchase orders
Kila makes one draft for each supplier and branch:
Open the draft and check it
Drafts created links to each one: “Review the quantities and submit them.” Open it to check the quantities and prices, then submit it. Its products leave the suggestions, because they are on order now.
Tip
A product’s line says branch rule when that branch has reorder levels of its own instead of the product’s.

Agrovets. Requisitions start switched off for an agrovet, so a branch manager can read the suggestions but cannot order from them: Create draft purchase orders shows only to people who create purchase orders, such as the buyer or the owner. At Mkulima Agrovet, Faith Chebet at Njoro tells Lucy Achieng, the buyer, what Njoro needs.

A product you expected is not suggested
Link to this section: A product you expected is not suggestedEither it is above its reorder point once what is coming is counted, or it has no reorder point or maximum, and then Kila never suggests it. Check Coming and the product’s reorder levels. With nothing to buy from a supplier, Kila says so:
There is no Create draft purchase orders
Link to this section: There is no Create draft purchase ordersOnly people who create purchase orders can order from Reorder, such as a buyer or the owner. Anyone who sees stock can read the suggestions: send them to whoever buys, or tap Export CSV and share the list.
Good to know
Kila counts stock already on the way before it suggests buying: stock in transit to the branch, transfers agreed but not yet dispatched, and open purchase orders, drafts included.
- See your stock on hand: Low lists the products at or below their reorder point.
- Transfer stock between branches: move stock from a branch that has plenty before you buy.
- Make a purchase order: ordering from the supplier.
Next: open the draft purchase order, check it and submit it to the supplier.
