Step by step
Sell a day pass or visit pack
For a visitor or a member without a plan, sell a day pass, a visit pack, a class pack or personal training from the member's page, take the money, and check them in on it.
Passes and packs are paid once: a day pass for one visit, a visit or class pack for a number of visits, or a personal training package. They are sold on the member’s page, so a first-time visitor is added as a member first, with the waiver.
Before you start
Link to this section: Before you start- The visitor needs a member record with a signed waiver. For someone new, tap New member and follow Sign up a new member up to the waiver.
- Money you take at the desk goes on your shift when it is open, so your cash-up counts it.
Check the visitor in at the Front desk
With nothing to come in on, Kila turns them away: Not in, with “No active membership, day pass or visit pack.”
Tap Sell a membership or pass
The member’s page opens with the passes and packs. On a member’s page you can also tap Sell a pass or pack.
Choose the pass or pack
“A day pass lets them in today; a visit pack counts down a visit a day; personal training packs are used in the diary.” At Kasarani Fit Club: Day pass KES 600, 10-visit pack KES 4,500, 10-class pack KES 4,000, and personal training in 5, 10 or 20 sessions.
Steps 3 and 4 on one screen. Tap Take payment
The payment shows what they buy, such as “1 visit, valid 1 day.”, and the amount to pay.
Choose how they pay
Cash, M-Pesa, Card or Bank. For cash, type what you received in Cash received: Kila shows the change, such as Change KES 400.00. For M-Pesa, Send a prompt to their phone, or Enter the M-Pesa code from their message: “Checked later against the M-Pesa statement.” Until Kila’s M-Pesa connection is live (Integrations and API says Prompts not connected), Kila sends no prompt and says “M-Pesa prompts are not connected to Safaricom yet”: enter the code instead. See Take M-Pesa.
Tap Complete sale
Kila says Paid and gives the sale number, such as “Day pass sold on S-000368.” The pass shows on the member’s page, 1 of 1 left, with the day it ends.
Check them in on the pass
Check them in again at the Front desk: In, “checked in on Day pass: 0 visits left.”
The visitor comes back later the same day
Link to this section: The visitor comes back later the same dayA day pass is one visit, and Kila used it at the first check-in. The desk sees the same answer as before:
Sell another pass, or a visit pack if they come often.
They come several times a week
Link to this section: They come several times a weekA 10-visit pack costs less a visit, and Kila uses one visit a day at check-in. The front desk shows how many are left each time. A monthly plan suits someone who comes more: see Sign up a new member.
Good to know
Kila holds the money for a pass or pack as unearned until the visits are used, and counts what is left as earned when it ends. Personal training packages do not open the door. They are used in the trainer’s diary: see Book personal training.
- Check a member in: every answer the desk can get.
- Take a membership payment: for members on a plan.
- Front desk: the desk’s day, from opening the shift to closing it.
Next: at the end of your shift, count the drawer: the passes you sold for cash are in what Kila expects.
