Receive a delivery at intake

Measure a delivery of milk or another raw material, test it at the platform, then accept it, reject part of it or send it back. What is accepted goes into stock as a numbered batch.

Every load of milk, grain or fruit is tested before it goes into stock. Intake and tests keeps each delivery with its readings, what was accepted and what was sent back with the reason, so the supplier’s statement and every batch made from the load can be checked against it.

  1. Tap Receive a delivery

Intake and tests opens on today’s deliveries at your site. Tap Receive a delivery, or press N. Kila opens Receive a delivery: “Weigh or measure it, test it, then accept it, reject part of it or send it back.”

  2. Choose the supplier

Choose the Supplier. Kila fills in the Material they usually deliver, such as Raw milk, litre.

Steps 2 to 4 on one screen.
Receive a delivery at Shamba Fresh Foods: Moiben Milk Bulkers chosen (2), 520 litres of raw milk in 13 cans (3), and the tests (4): temperature on arrival 6.8 °C against at most 10 °C, smell, alcohol and antibiotics passed, density 1.029 g/ml, each marked Pass.Receive a delivery at Shamba Fresh Foods: Moiben Milk Bulkers chosen (2), 520 litres of raw milk in 13 cans (3), and the tests (4): temperature on arrival 6.8 °C against at most 10 °C, smell, alcohol and antibiotics passed, density 1.029 g/ml, each marked Pass.
  3. Type the quantity

Type the Quantity you measured, and under Delivery note or cans the supplier’s note number or how many cans came.

  4. Record each test

Under Tests, type each reading or tap Pass or Fail. Each reading shows its limits, such as at most 10 °C or at least 1.026, at most 1.032 g/ml, and Kila marks it Pass or Fail as you type. A test marked (optional) can be left out.

  5. Tap Accept and receive

With every test passed, Decision stays on Accept all. Tap Accept and receive. Kila says what it took in and the batch number it gave the load, such as IN-000099: 520 accepted; batch MMB-261030-2.

  6. Check the Received list

The delivery is under Received with its tests, the Verdict, what was Accepted and Rejected, and the Receipt: the goods received note and the batch. “Each delivery received posts a goods received note (Purchasing, Receiving) against the supplier’s open order when there is one.”

Intake and tests for the day: the delivery from Moiben Milk Bulkers, Accepted, 520 litres, with its goods received note, batch number and value (6).Intake and tests for the day: the delivery from Moiben Milk Bulkers, Accepted, 520 litres, with its goods received note, batch number and value (6).

Not available yet

Kila says Suppliers get an SMS receipt for each delivery. SMS is in test mode until an SMS provider is connected: Kila records each receipt, and nothing reaches the supplier’s phone yet.

Tap Fail on the test, or type a reading outside its limits. Kila turns the Decision to Reject all and fills in Why it is rejected, such as “Antibiotic residues: negative: failed”. Tap Reject the delivery. Kila says, for example:

Kila shows:
IN-000100 rejected: Antibiotic residues: negative: failed.

Nothing from it goes into stock; the delivery stays on the list as Rejected, with the reason.

A load from Kaptagat Farmers Self-Help Group that failed the antibiotics test (1): the decision is Reject all, the reason Antibiotic residues: negative: failed, and the button Reject the delivery (2).A load from Kaptagat Farmers Self-Help Group that failed the antibiotics test (1): the decision is Reject all, the reason Antibiotic residues: negative: failed, and the button Reject the delivery (2).

To accept a load that failed all the same, choose Accept all. Accept and receive stays grey until you write a Note:

Kila shows:

A required check failed

Antibiotic residues: negative: failed. Say why it is accepted all the same.

Choose Reject part, type how much is Rejected and Why it is rejected, such as one sour can, then tap Receive the rest. Kila says, for example, IN-000101: 360 accepted, 40 rejected; batch UGD-261030-1. The delivery shows Part rejected.

Needs a manager

Receiving needs the right to receive goods, which the storekeepers have. The tests each material gets are set on the Checks tab.

Next: issue the milk to the day’s runs: Issue materials to a production order.
