Step by step
Keep notes on a client's card
Every client has a card at the front desk with their visits, who they usually see, their next booking, formulas and notes. Add a note of the kind your business keeps, and record a patch test before colour.
Steps differ for spas.
The client card is what the stylist needs before the client sits down: what they had last time, the colour formula, what they are sensitive to, how they like it done. Kila keeps it with the client, so it follows them from stylist to stylist.
Open the card
On the diary, press / (or open a booking and tap Client card: history and notes). Type two letters of the name or phone under Find a client and tap the client.
Read it before the service
The card shows Visits, Last visit, Usually sees, Spent and Next booking, then Client details (birthday, how they heard of you, photo consent and the last patch test), Formulas and treatments with the latest first, Preferences, their packages, the notes and every visit.
Choose the kind of note
Under Notes, pick the Kind. Glow Studio keeps Preferences, Colour formula, Relaxer and treatment, Allergies and sensitivities, Patch test and Note: the owner sets the kinds in the diary settings, under Notes kept on a client’s card.
Write it
Write what the next stylist needs to know, such as the formula and the time it took.
Tap Save note
Kila says, for example, Allergies and sensitivities saved on Moraa Odhiambo’s card. The note shows with its kind, who wrote it and the day. Formulas and treatments also go to the top of the card.
Good to know
Whoever wrote a note can remove it, and so can someone who manages clients. Stylists and therapists add notes and read cards from their own My day, for the clients in their own column.

The consultation form. At a spa the card also has a Consultation form for treatments: Due until the client has filled it, then Clear or Flagged until it runs out. Tap Take the form now and hand the tablet to the client, or the client fills it on their own booking link. The therapist sees the answers before the treatment; the desk sees only whether it is due or flagged. See Spa and wellness.

Kila says a patch test is needed
Link to this section: Kila says a patch test is neededServices whose names have words such as colour, tint, bleach, highlights, dye, lash, henna or relaxer need a patch test on the card from the last 180 days. At Glow Studio Kila still books the service, and says so, such as: Wanjiru Odhiambo has no patch test recorded; Full colour needs one within 180 days. Do a patch test before the service. The booking carries Patch test needed on the diary.
Once the test is done, open the card and tap Change under Client details. Fill in Patch test done on and the Result: Clear, or Reaction: do not go ahead. Tap Save. The card says Clear on the day, and the flag leaves the booking.
You want to keep before-and-after photos

They need the client’s consent first: until then the card says “No photo consent recorded. Ask the client; record it under the client details first.” Under Client details, tap Change and switch on Agrees to before-and-after photos only once the client has said yes: “Record it only once the client has said yes (Data Protection Act, 2019).”
