Step by step
Inspect returned goods
Returned goods held for inspection wait under Sales › Return inspection. Release what is fit to sell, or mark it damaged and say why.
When a return is held for inspection (quarantine), the goods are not sold again until someone looks at them. Each returned line waits here with its credit note and the reason the customer gave.
Open Sales › Return inspection
The page shows the Units waiting, what they are Held at cost, the Oldest waiting and what was Decided in 30 days. Under Waiting, each line has its item, credit note, reason, customer and how many wait. Search by item, credit note or customer.
Tap Release for what is fit to sell
Kila shows the credit note and how many wait, such as “2 pc waiting for inspection”, and the Reason given at the return.
Type how many, then tap Release
The Quantity can be part of what waits (“Up to 2.”). An Inspection note is optional, such as “Rim slightly dented, seal intact.” The button says how many, such as Release 1. “The units become available to sell at this branch straight away. The decision is recorded with your name.”
Tap Damaged for the rest
Type how many and say What is wrong with it, such as “Dented along the seam and leaking.” Kila will not mark it damaged without a reason. Tap Mark 1 damaged.
Kila confirms each decision:
Decided lines move to the Decided tab, with who decided, such as “1 released by Paul Odhiambo; 1 damaged by Paul Odhiambo”.
Tip
To supplier, beside Damaged, opens Purchasing › Returns (“Purchase returns”), where goods go back to a supplier with a debit note.
Needs a manager
Inspecting returns needs the right to adjust stock or to approve refunds. Inventory managers, till supervisors and branch managers have it.
- Take a return and refund it: where the goods come from.
Next: goods marked damaged wait in damaged stock until they go back to the supplier or are written off.
