Check the trading day

See one trading day in full, every branch and till, and check the money against what the tills, M-Pesa and the card machines say.

The trading day puts one day’s selling and money on one page: what you sold against a typical day, how customers paid, each till’s cash against what it should hold, deposits, M-Pesa and card machines, and the things a manager would want to look at. Today reads as it stands so far; a past day is final.

  1. Open Sales › Trading day

Under the title, Kila names the day, its hours and the branches, such as “Fri 30 Oct, 09:00 → 23:00 · 2 branches”.

  2. Choose the day

Today so far, Yesterday, or Choose a day and pick a date. Today says Open: so far (X) with the number of tills still open; a past day says Closed: final (Z).

  3. Choose the branch

Whole business, or one branch. A branch manager sees their own branches.

  4. Read At a glance

Gross sales, Returns, Discounts, Net sales, Sales, Average sale and Items sold; the owner also sees Gross profit and Margin. Each is set against the typical day, such as “The average of the last 4 Fridays up to the same time.”

  5. Check the money

Money check: “Cash counted against what the tills expected, deposits, M-Pesa against Safaricom, card machines against the bank.” Each part is marked All in order, Needs a look or A problem. Cash in the tills lists every shift with its Expected and Counted cash, Over or short and Paid out; a till still open says Still selling.

The Money check card (5) with its mark, such as A problem, then Cash in the tills: each till and shift with the cashier, the cash expected, the count and whether it balanced, and Deposits beside it.The Money check card (5) with its mark, such as A problem, then Cash in the tills: each till and shift with the cashier, the cash expected, the count and whether it balanced, and Deposits beside it.
  6. Look into what is flagged

Things to check lists what a manager would want to look at, such as Discounts and prices above the limits, approved by a manager or Alcohol refused outside the licensed hours, with how many and how much. Tap one to see each sale, shift or approval behind it, and tap that to open it. Under By till and shift, each shift has its X reading while it is open and its Z report once it is closed.

Things to check: Discounts and prices above the limits, approved by a manager, opened to show the sale behind it (6), then Alcohol refused outside the licensed hours and Alcohol sold without an ID check recorded, and a line naming everything with nothing to check.Things to check: Discounts and prices above the limits, approved by a manager, opened to show the sale behind it (6), then Alcohol refused outside the licensed hours and Alcohol sold without an ID check recorded, and a line naming everything with nothing to check.
  7. Print it or download it

Print gives “A one-page summary on A4.” CSV downloads the day for a spreadsheet.

Kila shows:

The trading day is for owners, managers and accountants

Your own shift’s X reading is on the till. Ask an owner if you need the whole day.

The trading day is for owners, people who read reports, and supervisors who see sales and manage tills. A cashier prints an X reading of their own shift instead.

Open the shift from Cash in the tills to see the count and the cashier’s note, then review it if it waits for review.

Next: follow up anything flagged, then check yesterday’s final figures in the morning.
