Suppliers take short-dated medicines back for credit only before their cut-off. This page gathers every batch that is expired or near its date, at every branch, with its supplier, so the return goes out in time.

  1. Open Expiry, returns and recalls

Open Pharmacy › Expiry, returns and recalls: “Stock expired, within 90 days of its date, or blocked by a recall. Send it back to the supplier for credit before their cut-off.” Above the list are the totals at cost of what is expired, near its date and blocked. Choose Expired or Near their date to see one kind. Type a number in Days ahead to look nearer or further than 90 days.

  2. Tick the batches to send back

Tick each batch going back to the same supplier from the same branch. Each row shows the product, the batch, when it Expires, its State (Expired or Near its date), the branch, the quantity, its value At cost and the Supplier.

  3. Tap Return to the supplier

The button counts what you ticked: Return 1 batch to the supplier.

Expiry, returns and recalls at Dawa Bora Chemists: Days ahead (1), the alginate antacid batch at Tom Mboya Street ticked (2), near its date, from Ukweli Pharmaceuticals, and Return 1 batch to the supplier (3).Expiry, returns and recalls at Dawa Bora Chemists: Days ahead (1), the alginate antacid batch at Tom Mboya Street ticked (2), near its date, from Ukweli Pharmaceuticals, and Return 1 batch to the supplier (3).
  4. Check the return

Kila opens Return to Ukweli Pharmaceuticals Ltd: “From Tom Mboya Street. Each line names its batch; a debit note reduces what is owed to the supplier.” The Reason reads “Expired and short-dated stock returned for credit”. Add the Supplier’s return authorisation number if they gave you one.

  5. Tap Record the return

Kila records the return, with a debit note that reduces what you owe the supplier. Find it under Supplier returns, at the top of the page.

Return to Ukweli Pharmaceuticals Ltd: the alginate antacid batch, the reason Expired and short-dated stock returned for credit, the supplier's return authorisation number UKW-RA-1182 (4) and Record the return (5).Return to Ukweli Pharmaceuticals Ltd: the alginate antacid batch, the reason Expired and short-dated stock returned for credit, the supplier's return authorisation number UKW-RA-1182 (4) and Record the return (5).

Tip

Check the page every week. On the home page, the card Medicines expiring or low shows the batches due soonest.

You have ticked batches of two suppliers, or of two branches. Its hint says “Tick batches of one supplier at one branch.” Make one return for each.

Its Supplier says Not on the batch: Kila does not know who supplied it, as with opening stock. It cannot go back from this page. If the supplier will not take it, write it off: Adjust stock.

A recalled batch is under Recalls, blocked from sale, and goes back the same way: Recall a batch.

Next: a batch recalled by the Board or the supplier is blocked the same day: Recall a batch.
