Step by step
Add parts and labour to a job
Reserve parts for a job, take them from stock as they are fitted, and record the technician's time, so you know what each job earns.
The parts on a job come from your stock, and the technician’s time has a cost. The job card keeps both: each part from the estimate is reserved, then taken from stock when it is fitted, and every minute worked is recorded against the technician. That is how Kila knows what each job really earned.
Open the job card
From the Job board or the Front counter, open the job. Under Estimate and work, each part shows where it is: Not reserved with how many are free in stock, Reserved, or Used at its cost.
Reserve the part
Tap Reserve on a part’s line. It is kept for this job and no longer counts as free for anyone else. Kila says, for example, “B-7000 adhesive and screen tape reserved for JOB-000099.”
Use it when it is fitted
Tap Use. The part is taken from stock at its cost, and the line shows Used at that cost, such as Used at KES 1,300.00. Kila says “Battery, other Android phones taken from stock.”
Record the time
Technicians start and stop the clock on My jobs as they work. To add time they did not clock, tap Add time by hand under Labour, choose the Technician, type the Minutes and a Note, and tap Save time. Kila says Time recorded: “40 minutes recorded.”
See what the job earns
Profitability works it out as you go, Projected from the estimate until the job is invoiced: Revenue before VAT, Parts used, at cost, Parts still to use, the labour at each technician’s rate, and the Margin.
Good to know
With Use parts when a job is ready on in Job settings, parts still on a job are taken from stock when it is marked ready, so nothing is forgotten.
How technicians and the parts desk do it
Link to this section: How technicians and the parts desk do itA technician works from My jobs on their phone: Start and Pause the clock, Ask for a part (“The parts desk issues it, orders it for the job or tells you it cannot be had.”), and Done when the work is finished. The parts clerk sees what the bench asked for on the Parts desk and issues it. See Technician and Parts clerk.
A part was used by mistake, or not fitted after all
Link to this section: A part was used by mistake, or not fitted after allTap Back in stock on its line. Kila asks “Put 1 × B-7000 adhesive and screen tape back in stock?”: “Marked as used by mistake, or not fitted after all: it goes back into stock at its cost and comes off the job.” Give the reason under Why does it go back? and tap Back in stock. The line shows Released.
The job is cancelled
Link to this section: The job is cancelledTap Cancel job on the job card: “Running clocks stop. The customer is not invoiced.” Reserved parts go back to stock. If a part was already used, Kila asks where it is now, such as “1 part was marked as used (KES 1,300.00 at cost). Where is it now?”: Back in stock (“Back into stock at their cost, as if never taken.”) or Used up (fitted or consumed), when its cost is written off. Give the Reason and tap Cancel job.
