Handle a maintenance request

A caretaker or tenant reports a problem, the property manager gives it to a fundi, the caretaker marks it started and done, and the cost becomes the property's expense, recovered from the landlord's payout.

Leaks, power, water, security: problems at a property are reported on the Property desk, often by the caretaker on a phone. Each request is numbered, followed until it is done, and its cost is charged to the property, so the landlord pays for it from their rent.

  1. Tap Report a problem

On Practice › Property desk, tap Report a problem. A caretaker’s desk shows “Maintenance requests on the properties you look after.”, with requests only: a caretaker never sees rent.

  2. Say where and what

Choose the Property and the Unit, or Common area. Choose What it is (Plumbing, Electrical, Security, Structure, Cleaning, Water or Other) and How urgent: Normal, Urgent or When there is time. Describe The problem, say who it was Reported by, and add a Photo if you have one.

  3. Tap Report

Kila numbers the request: “MR-… reported.”

Report a problem on Juma Hamisi's phone: Amani Heights, Ruaka (1), unit B3, plumbing, urgent, the problem Water leaking from the bathroom ceiling of B3 (2), reported by Juma Hamisi, caretaker, and Report (3).Report a problem on Juma Hamisi's phone: Amani Heights, Ruaka (1), unit B3, plumbing, urgent, the problem Water leaking from the bathroom ceiling of B3 (2), reported by Juma Hamisi, caretaker, and Report (3).
  4. The property manager assigns it

On the desk’s Maintenance tab the request shows the property, the unit, the problem and Reported. The property manager taps Assign and chooses Someone in the business, or types the fundi under Or a fundi, then Save: “MR-… assigned to Fundi Otieno Plumbing.”

Assign MR-… on Samuel Otieno's desk: Someone in the business left empty, and the fundi Fundi Otieno Plumbing typed under Or a fundi (4).Assign MR-… on Samuel Otieno's desk: Someone in the business left empty, and the fundi Fundi Otieno Plumbing typed under Or a fundi (4).
  5. Mark it started

When the fundi is on site, the caretaker taps Start: “MR-… started.” The request also has Photo, for a picture of the problem or the finished work.

  6. Mark it done

When the work is finished, tap Done, say What was done, and tap Save: “MR-… done.”

  7. The property manager records the cost

To see requests that are done, choose Including the last two weeks done above the list. On the done request, tap Record the cost. “Recorded as the property’s expense (with the usual approvals); the landlord’s next payout recovers it.” Type the Amount; Paid to is filled in with the fundi.

  8. Tap Save

Kila records the expense and says, for example:

    Kila shows:

    Done

KES 3,500.00 recorded on Amani Heights, Ruaka as expense EXP-…. It waits for approval. The landlord’s payout recovers it.
The cost of MR-…: an amount of KES 3,500 (7), paid to Fundi Otieno Plumbing by M-Pesa, recovered from the landlord's next payout, and Save (8).The cost of MR-…: an amount of KES 3,500 (7), paid to Fundi Otieno Plumbing by M-Pesa, recovered from the landlord's next payout, and Save (8).

Needs a manager

At Jirani Property Managers the cost then waits in Approvals for accounts to decide.

Next: Pay the landlord.
