Your role

Cashier

Your day on the till, from opening your shift to closing it, what you can do on your own and what needs a manager.

Steps differ for clinics and health services, businesses that sell alcohol, fuel stations and agrovets.

As a cashier you sell at the till and run your own shift: everything you take belongs to your shift until you count the drawer and close it.

Kila opens the till straight away. If you have no shift open, it asks you to Open your shift: “Choose your till and count the float in the drawer. Every shilling from here is on your shift until you close it.”

  1. Choose your till. A till someone else is using shows Open for their name.
  2. Count the float: type how many notes of each value are in the drawer, and the coins.
  3. Tap Open shift with KES …. Kila confirms the shift number and the float, and you can start selling.
Open your shift: Till 1 (by the door) is free and chosen (1), Till 2 (tasting counter) shows Open for Nancy Wangeci, two KES 1,000 notes are counted (2) and Open shift with KES 2,000.00 is marked 3.Open your shift: Till 1 (by the door) is free and chosen (1), Till 2 (tasting counter) shows Open for Nancy Wangeci, two KES 1,000 notes are counted (2) and Open shift with KES 2,000.00 is marked 3.

For clinics and health services

At a clinic Kila opens Clinic › Billing desk for you, with the patients waiting to pay. See Bill a visit.

  1. Open your shift when you start, as above.
  2. Sell. Search or scan a product, tap it into the cart and tap Charge. To put a customer on the sale, tap Add a customer (optional). Take the payment by cash, M-Pesa, card or bank transfer. Kila shows Sale S-… complete with any change to give.
  3. Close your shift when you finish: count the drawer and submit the count. See Close a shift.

For businesses that sell alcohol

Alcohol. For a sale with alcohol, Kila asks you to check the customer’s ID before you can take any payment. Tick I have seen ID. The customer is 18 or older. only after you have seen it. Outside the licensed hours the till sells everything except alcohol. See Selling alcohol.

For fuel stations

At a fuel station you work the shop till: fuel sells from the pumps. See The shop beside the forecourt.

For agrovets

Farm chemicals. For a restricted pesticide the payment asks you to Record the buyer: first, and a prescription-only veterinary medicine is sold only by a qualified person. See Sell a restricted product and Sell on a vet’s prescription.

  • Sell at the till, and start Quotation, Order and Return from the tabs at the top.
  • Give a discount within your limit. Kila tells you your limit when you open a line: Your limit is 5% of the line.
  • Add a customer to a sale.
  • Move cash in or out of your drawer with a reason, from your shift: Move cash.
  • Open and close your own shift.

Needs a manager

  • A discount above your limit. Save the line, then tap Ask for approval in the cart. Someone with a higher limit approves it in Approvals or from their phone, and your till carries on by itself.
  • Every refund. A cashier’s refund limit is KES 0.00, so a return waits for approval: “Above your refund limit of KES 0.00. Kila sends it for approval; nothing moves until it is approved.”
  • Changing a price. “Your role cannot change prices. Ask a supervisor.”
  • A shift that closes short or over beyond the tolerance. A supervisor reviews it.

Open the line in the cart (tap its name), enter the discount and Kila says Above your limit: “That is more than 5% off. Save the line, then ask for approval from the cart: someone with a higher limit approves it.”

The line editor for a gin: a 10% discount entered (1) and Kila saying Above your limit (2). The unit price cannot be changed: Your role cannot change prices. After Save line, the cart says Above your discount limit. Tap Ask for approval. Kila says: “Sent for approval. Someone whose limit covers it approves it in Approvals or from their phone. This till updates on its own.”

When it is approved the cart says Discount approved by the person who approved it, and you can charge the sale.

On the Return tab, find the receipt by its number, the M-Pesa code or the customer‘s phone, choose what comes back and how to refund it. Because a cashier’s refund limit is KES 0.00, the button says Send for approval.

A return of a gin for KES 2,070.00 by cash: Kila says Needs a supervisor (1), and the button is Send for approval (2).A return of a gin for KES 2,070.00 by cash: Kila says Needs a supervisor (1), and the button is Send for approval (2).

The till says “Waiting for approval…”. What do I do? Tell the customer a manager is approving it. Your till updates on its own once they decide, so you do not need to ask again.

My count is short. Is that a problem?

Kila shows:

Short by KES 550.00

Counted KES 2,000.00, expected KES 2,550.00. Count the drawer again. If the figure stands, send it for review.

Count again first. If the figure stands, add a note that explains it and send it for review. Kila records the count exactly as you made it, and a supervisor reviews it.

Why can I not take a payment for a beer? The sale has alcohol, so Kila needs the ID check first. Tick it once you have seen the customer’s ID.
